The Listings Transaction Coordinator manages the real estate listing process to sell homes quickly. They are responsible for preparing listing information, procuring signatures for listing agreements, and overseeing listings on MLS and social media. Additionally, they coordinate open houses, showings, repairs, cleanings for properties and track the team’s sales activity. 

Essential Duties:

  1. Supervise all parts of seller transactions, from first contact to the execution of purchase agreement, allowing real estate agents to sell more homes
  2. Gather all listing information including property photos, pre-listing materials, comparative market analysis with online property profiles, and MLS research
  3. Acquire the necessary signatures for each listing agreement, sellers’ disclosures, and other required documentation and send to the real estate broker for file compliance
  4. Post new listings to social media and in MLS to sell homes quickly and give customers an excellent experience
  5. Obtain vendor estimates and schedule cleanings and repairs on homes getting ready to be listed to sell
  6. Arrange all buyers’ showings and public open houses to get feedback regarding the showing to help other team members facilitate more sales
  7. Enter sales activity into the client database and track business reports to present progress toward company goals
  8. Prepare and monitor documents and processes associated with real estate transactions
  9. Communicate (verbal, written and in person) professionally with clients and vendors and ensure all tasks are completed on-time with the highest level of customer service
  10. Data entry into relevant databases, calendars and transaction management software to keep team current
  11. Approach duties and responsibilities with business maturity, enthusiasm, and positive attitude
  12. Be a self-starter and take responsibilities over from the Agent, set a plan in motion quickly, take action to complete tasks and goals.
  13. Other duties as assigned

Skills & Qualifications:

  1. Florida Real Estate License (Required)
  2. Transaction Coordination experience (minimum 2 years)
  3. Advanced in Microsoft Office and/or Google workspace
  4. Very familiar using Stellar MLS, ShowingTime and Databases
  5. Proficient in office, CRM(s), Internet, and a quick learner in other programs
  6. Above average attention to detail
  7. Professional demeanor
  8. Exceptional phone skills
  9. Interpersonal/oral and written communication
  10. Quick thinker, learner and self-motivated
  11. Exceptional at follow-through, execution, and attention to detail
  12. Provide concierge level service to our clients
  13. Must be willing to work as needed to meet deadlines
  14. Comfortable preparing listing documents, presentations, and other documents
