JOB SUMMARY

The Mail Clerk’s functions include opening, sorting, distributing, and returning incoming company mail, logging, and keeping record of community checks received, electronically scanning/depositing community checks received, digitizing/scanning documents, and mailing printed checks.

EXPERIENCE & EDUCATIONAL QUALIFICATIONS

Possess at minimum a High School Diploma and three (3) years of either administrative or mail clerk experience.

Successfully pass pre-employment screenings and background/reference checks.

Ability to work independently with minimal supervision.

Ability to coordinate/manage multiple projects at the same time.

Ability to interact and communicate effectively with colleagues, vendors and customers/clients of all professional levels.

Maintaining high standards of professional behavior at all times.

Demonstrate organization, attention to detail, problem solving, creative, and independent thinking.

Demonstrate a commitment to the organization’s philosophy of high quality, professionalism and organizational culture.

KNOWLEDGE & CRITICAL SKILLS

Must have a working knowledge of applicable company policies and procedures and must be familiar with, but not limited to:

Comprehensive knowledge and application of Microsoft Office programs; primarily Outlook, Excel, Word, and Access.

Knowledge of Windows based software programs.

Knowledge of Adobe Acrobat, and electronic scanning programs.

ESSENTIAL DUTIES & RESPONSIBILITIES

Open, date stamp, and sort incoming mail by office location.

Distribute mail to company office locations or return mail to sender (if applicable), in a timely manner.

Responsible for logging community checks received, and electronically depositing checks using scanning equipment.

Responsible for sending check deposit information to community Staff Accountant.

Digitize/scan documents and electronically save or send as needed.

Mailing checks printed within the office to vendors, homeowners, etc.

Performs and assists with miscellaneous job-related duties as assigned.

WORK ENVIRONMENT

Regular office environment.

This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. This role will include extended periods of standing to process incoming mail. The role will lift mail bins which may weigh 25+ pounds.
