Maintenance Supervisor

Position Description

FREE HEALTH INSURANCE FOR EMPLOYEE AND 11 PAID HOLIDAYS INCLUDING YOUR BIRTHDAY!! Overall responsibilities include oversight of the maintenance team and overall maintenance of 143 unit apartment community including all maintenance repairs, make-ready process and preventative maintenance. Supervisor should have a “hands-on” approach to management and is fully expected to participate in all activities related to the overall maintenance of the community. Has authority and responsibility to perform the functions and tasks described in the job description.

TEAM MANAGEMENT:

  • Hires, trains, coaches and counsels all maintenance personnel with the assistance of the Community Manager, Director of Human Resources and Regional Manager as needed.
  • Assist Community Manager with preparation and delivery of maintenance team’s annual performance evaluations.
  • Monitor maintenance team payroll in conjunction with the Community Manager to minimize overtime.
  • Reviews daily, weekly and monthly tasks related to the maintenance of the community and assigns work to each team member as necessary monitoring assignments throughout the day to make sure work is completed both timely and efficiently.
  • Ensure that all team members always understand and provide exceptional customer service.
  • Work hands-on with the service team and provide ongoing training to all team members
  • Participate in completion of work orders and apartment turns.
  • Conduct monthly safety meetings with team.
  • Ensure that all maintenance team members are following all safety and OSHA protocols.
  • Review all work orders pertaining to HVAC calls to ensure that freon usage is being properly documented on all work orders and freon logs.
  • Review Grow training course assignments with Community Manager monthly and ensure that you and the maintenance team are completing courses in a timely manner as assigned.

SERVICE AND MAINTENANCE PERFORMANCE:

  • Review and monitor monthly expense budget with Community Manager and offer cost savings suggestions when possible.
  • Walk community daily with team to ensure grounds are always clean and neat
  • Check compactor area daily for cleanliness, bulk items that need to be removed and overall condition of the compactor and enclosure.
  • Compile all orders for parts and services necessary to complete work orders and apartment turns and present to Community Manager for approval. Only order what is necessary to complete works orders and turns. Do not over stock shop.
  • Upon Community Manager approval, enter purchase orders in Entrata or other management software as required and provide vendor with PO number.
  • Review and prioritize work orders and maintenance emergencies daily and assign to appropriate team members. Review incomplete work orders at the end of the day and place order for any additional parts not in stock to complete work orders. Target goal is to always complete work orders within 24 hours or receipts.
  • Manage make ready process by pre-walking apartment homes when resident gives notice to vacate to predetermine condition of unit. Upon move-out, perform final inspection and schedule vendors, order parts and assign all work as necessary. Ensure team is utilizing the make ready checklist as they complete the turn process. Monitor progress of make ready throughout the turn process. Perform final inspection, sign off on make ready checklist and give to Community Manager once the turn is complete. Upon final inspection, update Entrata to reflect that the unit is ready. Target goal is to turn a unit within 5 days of move-out excluding weekends.
  • Coordinate, schedule and perform preventative maintenance on the community and apartments.
  • Document completion of all service requests in Entrata.
  • Perform on-going inspections of the community denoting safety related issues and deficiencies that exist and schedule all repairs as needed.
  • Work with Community Manager to develop scope of work or any major projects at the community and obtain 3 competitive bids from vendors utilizing said scope of work.
  • Oversee and major projects at community as required.

JOB REQUIREMENTS

  • Valid Driver’s License, dependable transportation and the ability to accommodate a rotating on-call schedule.
  • Ability to work varied schedule including nights, weekends and holidays as required.
  • Position requires EPA certification Type I and II or Universal.
  • Must have certifications/permits required by city or state to perform job responsibilities.
  • Must be able to troubleshoot and repair HVAC equipment, plumbing systems, electronic systems, all major appliances, pool and spa equipment and other systems on community such as gates, irrigation systems etc.
  • Ability to analyze and interpret data
  • Ability to handle stressful situations in a calm demeanor in order to diffuse and resolve any situation that may arise.
  • Ability to manage and prioritize daily, weekly and monthly workload
  • Ability to operate all office equipment including a telephone system, computer system and copier.
  • Ability to utilize and demonstrate reasonable understanding of all computer software programs including but not limited to Microsoft Office, Outlook, Excel, internet web browsers as well as any management software programs in use.
  • Ability to lead a team without prejudice understanding that as a leader, it is always your responsibility to maintain a professional relationship with your subordinates.
  • Ability to operate a vehicle to perform company business.
  • Job requires constant activity that entails intermittent standing, bending, crouching, pushing/pulling, lifting/moving carrying light to heavy weight material, climbing ladders/stairs etc.
  • Ability to use repetitive motion of hands, wrists, elbows and fingers while utilizing computers and other equipment or writing as needed.
  • Must have normal range of hearing, vision, color discrimination and depth perception for proper operation of machines, tools and equipment.
  • Must have ability to complete tasks wearing safety equipment such as goggles, masks, gloves etc.
  • Must have basic tools required to perform general maintenance
