Job Summary

The Maintenance Supervisor is directly in charge for the preservation of the community, providing a clean and well-maintained home for our residents. Teach and train the onsite teams to ensure the maintenance operations run seamlessly and every resident are provided with superior customer service. Maintenance Supervisor will be responsible and oversee (along with the Property Manager) the physical assets, general maintenance repairs, apartment make-readies, preventive maintenance and construction or rehabilitation projects for an apartment community. They are responsible for maintaining adequate inventory of supplies for repairs and monthly maintenance budget. Working with the Property Managers and site associates to improve communication and to ensure alignment with the Company’s vision and strategic initiatives in order to accomplish the staffing and operational objectives.

Job Responsibilities:

Maintenance

· Supervising and scheduling maintenance activities

Work with the office team and Property Manager (i.e., walking apartments, move-in/move-out reports, etc.).

· Determine weekly apartment make-ready and service request schedules.

· Monitor property KPI’s specifically that effect maintenance and offer solutions and support to reach these goals.

· Report apartments that are ready to show to the Property Manager.

· Coordinate, schedule, and perform preventive maintenance on equipment and apartments.

· Use service request and schedules to establish priorities.

· Determine with Property Manager, requests or emergencies that should be top priority.

· Repair/replace appliances, plumbing systems, air conditioning/heating/electrical systems, and any apartment material/maintenance requests within scope of management responsibility.

· Walk all vacancies to determine make-ready needs.

· Coordinate effort with Property Manager to make schedule and assignments. If major appliances or carpets need replacing, discuss with Property Manager before taking action.

· Ensure all repairs/replacements necessary for apartment to be occupied are completed.

· Ensure all trash from apartments is cleaned out before, during and after make-ready activity.

· Assign service request equally to Service Technician(s).

· Complete weekly/daily maintenance employee schedules and assignments in tandem with Property Manager.

· Conduct site inspections to ensure that the physical aspects of the community will meet or exceed established standards regarding the grounds, curb appeal, market ready units, risk management/safety requirements, cleanliness, and general appearance. Prepare feedback to Regional Managers and Operations Manager to implement corrective measures as necessary.

Financial

· Must get approval from Property Manager prior to placing orders for major expenditures and unbudgeted items.

· Working with Property Manager and using input from maintenance staff, determine supplies and equipment.

· Meet budgeted expense goals for the portfolio to ensure profitability.

· Participation and provide input to the annual operating and capital budget process for community.

· Work with owner/investment partners to maintain and improve the value of the assets.

· Meet and support company key performance indicators and objectives to meet or exceed organizational expectation. (Listed below)

Personnel Supervision

· Provide input to Property Manager regarding employee performance evaluations, employee compliments from residents, corrective counseling needs, etc.

· Assist Property Manager in recruiting and interviewing potential staff members.

· Communicate assignments and major tasks to employees. Make sure they have all the instructions necessary to complete assignment properly. Assess training needs of employees and along with Property Manager and Regional Manager, provide input for training programs.

· Provide one-on-one training to associates that may need to polish current skills or wish to learn new skills.

· Prepare, train and encourage all levels of maintenance staff for the opportunity to be promoted.

· Periodically check the work progress of each maintenance employee. Provide immediate assistance and instruction as needed.

· Conduct weekly meetings with Maintenance staff to keep them apprised of current issues.

· Utilize effective communication to gather consensus and obtain internal agreement of the Company’s goals and objectives.

· Attends and participates in training programs as required.

Resident Retention

· Monitor the completion of service request in order to limit callbacks.

· Monitor the number of times a specific repair must be repeated and determine course of action.

· Guidance to all staff members to provide the highest level of service to residents.

Safety

· Schedule Safety and Skills Training for Maintenance Employees.

· Provide initial safety and safety equipment training for all new associates.

· Proper administration and compliance of all OSHA regulations.

· Tour property daily to look for needed maintenance and liability hazards and report to Property Manager.

· Repair hazards or assign completion of these tasks to the Maintenance Technicians.

· Secure storage/pool areas check timers and listen for electrical shorts and malfunctioning motors.

· Quarterly complete written property safety audits.

· Assist with hazardous weather problems, fires, floods, freezes, etc.

· Responsible for overall organization and cleanliness of work areas and maintenance shops.

Key Performance Indicators

· Occupancy = 95% or above

· Net Leased = 93% or above. The definition: All unleased units, this includes move out notices not leased. If notice is prelease or vacant leased, this number improves. Get another notice or cancel, this number declines.

· Leases per day= Properties 95% or above 1 lease per day as a minimum standard. Properties 94.9% or below 2 per day as a minimum standard.

· Renewal retention per month 50% as a minimum standard

· 60 days vacant – ZERO

· Market ready units = 50% ready at all times is the minimum standard.

· MTM % = Less than 3% of total leases expiring.

· # of days units are held = 5-7 days

· # of days to make ready a unit = 3-5 days

· Outstanding rent not collected for the month = less than 1% of Net Rent Income

· These KPI’s will be subject to change and revision as the market conditions change.

Essential Job Qualifications

· High School diploma preferred.

· Certified Apartment Maintenance Technician (CAMT) preferred.

· Will be regularly called upon to work overtime and service calls after hours schedules.

· Maintenance Supervisor may be needed for community specific service call/afterhours guidelines.

· Position prefers 3 years’ experience in on-site property management; 1 in a maintenance supervisory role. Must have background in supervision and successful track record of accomplishments. Will consider 3 years supervisory experience in a maintenance service-related business with appropriate certification(s).

· Full time hours. Must be available on evenings, weekends for staffing needs and emergencies.

· Demonstrate ability to apply principles of logical thinking to define problems, collect pertinent data, establish facts, draw valid conclusions and initiate appropriate course of action.

· Effectively convey ideas, images and goals to a diverse group of personalities.

· Must possess a positive attitude and the ability to smile under all circumstances.

· Achieve Fair Housing certification prior to interaction with prospects or residents.

· Competence in personal computer skills, keyboard, internet search, math, Microsoft Office Suite including Word, Excel, and Outlook as well as community software applications.

· Knowledge of OSHA laws and regulations.

· Participate in training in order to comply with new or existing laws.

· Present self in a neat, clean and professional manner at all times throughout the workday and/or whenever present at the community.

· Comply with expectations as demonstrated in the Employee Handbook.

· Successfully pass a drug test.

· Must have a valid state issued driver’s license.

· Must be bilingual (English and Spanish)
