Full Job Description

MAINTENANCE PERSONNEL DUTIES & RESPONSIBILIITES

The following operating procedures will be used to assist you in performing your normal maintenance functions for Palma #3. This schedule should be kept in your maintenance office and referred to when needed. The Professional Bayway Management Personnel Policy Manual is a separate item which you have already read and is in the maintenance office for your referral.

RESPONSIBILITIES: As the maintenance person for your Association, you are directly responsible for the maintenance of the building, grounds and swimming pool area. You are under the direct supervision of the Property Manager and the Palma #3’s Condo Association’s President. You are always expected to keep your areas of responsibility in a high state of maintenance. All maintenance problems that require outside attention must be brought to property managers attention and to the President as soon as possible.

DUTIES: The following areas require routine inspection and service on a daily, weekly, by-weekly or monthly basis as indicated by (D, W, BW, M).
1. Swimming pool and spa. (D)
A. Check chemicals for proper Total Alkalinity, PH and Chlorine (D)
B. Clean tile (D)
C. Straighten pool furniture. Add or drain water as needed (D)
E. Blow all debris from pool deck(D)
F. Thoroughly clean pool furniture (W)
G. Backwash and clean filters when needed. When you start seeing high pressure on flow meter this indicates dirty filters. Main pool should be backwashed at least once a week and more if needed. Jacuzzi filters need to be cleaned at least once a week and more if needed.
H. Hose down pool deck (W)
I. Check pool lights and pool perimeter lights (D)
J. Order Pool supplies as needed. (W)
K
. Install and remove elevator pads as needed.
M. Check docks for needed repair, replace and stain any rotten boards.
N. Wash docks to remove bird droppings as needed.
O. Keep Dock ladders in up position.
P. Sweep and or blow stairwells and breezeways and wipe any mildew or mold off railings
Q. Perform minor concrete/mortar repairs as needed
R. Assist Secretary with collecting and forwarding various forms and posting notices as needed

2. Dumpsters
A. Keep all dumpster areas clean. Take out recycle cans

4. Exterior Lighting (BW)

A. Check all exterior lighting for bulb replacement or repairs. This includes all parking areas, walkways pool area and grounds. Proper time settings must be checked and reset after power outages, also reset for seasonal time changes.

5. Pump Room
A. Keep pump room clean and free of storage (W)

6. Meter Rooms (W)
A. Check all meter rooms and make sure they are kept clean and free of storage items.

7. Check circuit breaker boxes for loose or tripped circuit breakers.

8. Seawall (M)
A. Check seawall for damage or signs of deterioration. Inform manager of findings.

9. Roof Area (M)
A. Make visual inspection of roof area, flashing, roof tiles, A/C units and vent stacks. (Report any deficiencies to property manager and President.)

10. Parking Area (M)
A. Keep car stops clean and properly stenciled
B. Keep drain gates clean

11. Fire Extinguishers (M)
A. Check all exterior fire extinguishers for proper pressure, broken glass or damaged box.

12. Painting (as needed)
A. As a normal preventive maintenance small (you may at times also be asked to do larger jobs) painting jobs will be required such as: Light poles, parking bumpers. doors, steps. light fixtures, disconnect boxes, trash room floors, dumpster rooms, waste pipes and garage support column protectors. Any large painting work you feel is needed must first be brought to your Manager’s attention.

13. Sprinklers (W)
A. As the maintenance of the irrigation system is contracted to the landscape company, your only duty with respect to same is to note distressed areas which is indicative of a problem and advise the property manager and or landscape contractor of the problem. During sprinkler activity note any misdirected or non -functioning sprinklers.

14. Landscaping.
A. Most of the landscaping is contracted out and is not your responsibility check of turf, trees and shrubbery and report to the property manager and President defects such as infected turf, damaged or dying shrubs or trees.

15. Doors (M)

A. Make visual inspection and lubricate all common area doors to insure they open and close properly.
B. Paint doors as needed.
C. Apply graphite compound to locks.

16. Common Area Walkways and Railings (M)
A. Make visual inspection of all railings, repair or tighten as needed.
B. Check all walkways and steps for cracking or chipped concrete and exposed re-bar. Make all necessary repairs.

17. Walkways and stairwells (Q) (Jan, April, July, October)
A. Pressure clean all walkways and stairwells.

18. Pool Deck (Semi-annual) (May, November)
A. The pool area is to be closed, after notice given to residents, degreased and pressure clean.

DAILY CLEANING DUTIES
Each morning prior to scheduled duties, make a quick walk-thru of lobbies and hallways and outside front of building to determine if any major problems occurred overnight.

1. Outside front of Building:
A. Pick up trash in parking lot.
B. Pick up trash in overflow area next to street on North side and along 197th St.

2. Stairwells:
A. Walk stairwells and check for trash
B. Sweep as needed.

3. Activity Room:
A. Clean and keep neat: tool room; paint room rooms in 1st floor storage area; dumpster rooms.

Perform Special Projects as Assigned.

General Information

1. Supply Procedures: Order supplies as needed for maintenance.

2. Water Shut-off valves: In case of emergency, the domestic water pump can be shut off. All domestic pumps are in the pump room. These valves should be marked. You may also shut the water valve off to the main feed. One is located at the water meter near the road in front of your building. Each apartment’s water can be shut off separately; at the valve located near each unit’s hot water tank. It is important that you are familiar with these valves

3. Circuit Breakers: Circuit breakers are in the meter rooms. Panels are marked as to what area is serviced. Familiarize yourself with these panels.

4. Fire Alarm System: Your building’s fire alarm system is under service contract. You are not responsible for maintenance. When the fire alarm sounds, immediately check enunciator which will indicate what zone is affected. Go to that area and thoroughly check for evidence of smoke or fire. If smoke or fire is detected, dial 911 and evacuate the building. If no fire exists, silence alarm system and call PBM (do not reset the system) this will be done by the service contactor.

5. Elevator Equipment: In an emergency, elevator system can be shut down at main disconnect box located in elevator equipment room. If elevator malfunctions call elevator contractor.

6. Emergency calls after working hours: From time to time you may be called at home to come in and respond to an emergency maintenance problem. Immediate response is required. If problems cannot be solved by you, immediately notify PBM.

7. Parking Lot Survey: On an as needed basis survey the parking lot for vehicles in violation of parking rules. Place notification of tow on the offending vehicle and contact the board president.

8. Contractor Monitoring: As needed, monitor contractors and vendors to ensure compliance to contracts and specifications. Approve/authorize payments as required. Consult PBM or Directors on resolution of nonconformance.
