Manager – Administrative Services
Location: Tampa, FL

About the Role

The Office Manager role, based in Validity’s Tampa, FL office, is a key role within the Company’s administrative services function. This position requires a reliable, detail-oriented and tech-savvy professional to roll up their sleeves to support day-to-day office management functions in Tampa, oversee multi-site facilities needs and manage one or more employees

Position Duties and Responsibilities

  • Submit and manage maintenance requests to building management, and make recommendations for services, vendors, and other facilities needs
  • Manage office maintenance projects and requests for vendor comparison/evaluation
  • Support space planning needs and manage Tampa office seating chart; Coordinate workstation, office, and/or parking space moves
  • Lead local office’s Engagement Committee
  • Coordinate team member activities, including but not limited to planning and executing on-site and off-site events, happy hours, meetings, and conferences
  • Coordinate travel and/or meeting space requests for senior leaders
  • Setup new hires’ workstations and clean out exiting employees’ workstations
  • Order office and break room supplies, office furniture, snacks, meal catering, etc.
  • Restock office and break room supplies, coffee and snacks daily; Setup, tear down and clean up after meal catering, meetings, and events
  • Complete a monthly safety walk-through of the Tampa site, identifying maintenance needs and/or risks and escalating needs to senior leaders for resolution
  • Participate in Emergency Management planning and communications
  • Ensure that all office and kitchen machines are working and maintained by vendors
  • Coordinate, interact, and maintain positive relationships with vendors and property managers
  • Manage, organize and track purchases; Approve incoming invoices for payment and submit receipts and invoices to Accounts Payable for payment
  • Update budget with daily, weekly, and monthly expenses with the goal of staying on track of yearly spending and recommend opportunities for cost savings
  • Answer lobby doorbell, greet and escort visitors in a warm and professional manner
  • Handle inbound and outbound deliveries and mail; Assist in preparing mailings and shipments for HR, Sales, or other teams using Mail Merges and postage systems
  • Coordinate routine deep cleaning of local office by cleaning crews
  • May occasionally run miscellaneous errands in support of office activities or leadership requests using a personal vehicle
  • Other duties as required

Required Experience, Skills, and Education

  • High School Diploma or equivalent required
  • Must have a valid Florida driver’s license and willing to use a personal vehicle for work purposes
  • Must be fluent in English
  • 3 or more years experience managing office and facilities functions for large office (75 or more office-based employees per location)
  • Outstanding verbal and written communication skills, with a high degree of diplomacy, confidentiality, and professionalism
  • Resourceful self-starter who is reliable, conscientious, and organized
  • Intermediate or better skills using software systems including, but not limited to, MS Office (Word, Excel, and PowerPoint), MS Outlook, Visio, Adobe Acrobat, Concur, DocuSign, web-based applications, and mobile applications
  • Proficiency in maintaining Outlook calendars, expense reports, and office communications
  • Strong vendor management skills
  • Ability to interact with various levels of leadership, employees, and vendors
  • Ability to multitask and manage multiple key priorities simultaneously
  • Ability to work full-time (5 days per week) in our Tampa, FL office is required

Preferred Experience, Skills, and Education

  • Associates degree or greater post-secondary education is preferred
  • Multi-site office management experience is a plus
