We are seeking a dynamic hands-on Manager with the ability to lead, partner and solve issues to deliver high-quality and efficient customer service in a fast-paced, diverse and growing environment.

 

The Workplace Services and Facilities Manager leads operations across multiple high-volume corporate office locations in the Tampa, FL region. You will direct and coordinate all workplace services activities and processes, ensuring our offices are running efficiently and meeting all standards. Your responsibilities will stretch across a multitude of support functions, including but not limited to: Staff management and development, facilities maintenance and construction projects, office administration, physical security, compliance and audit programs, business continuity and emergency preparedness, vendor management, financial and accounting.

 

Essential Duties and Responsibilities:
  • Ensure all locations are operating properly and maintained, with a focus on building and occupant safety, office administration deliverables, financial performance, location aesthetics and continued readiness.
  • Develop, implement, and enforce policies and procedures related to business continuity, facilities services, building safety, physical security, and office operations.
  • Supervise appropriate staffing levels and provide managerial support to associates. Perform consistent and frequent leadership, coaching, development, performance management and payroll processing to a team of staff directly and virtually.
  • Responsible for Physical Security operations at assigned locations, partnering directly with vendors and Corporate Security to ensure the completion of program goals and coverage needs.
  • Ensure either directly or through delegation the resolution of all services requests in a time sensitive and satisfactory manner, with a goal toward exceeding customer expectations.
  • Establish and maintain relationships with various internal working groups and internal Cognizant departmental contacts.
  • Responsible for new account allocation including coordination with IT, Real Estate, Finance, Security, and required vendor engagement.
  • Implement and handle vendor services via creation of SOWs and service contracts: Janitorial, security, first aid, office supplies, furniture-fixtures-equipment, general repair and maintenance, etc.
  • Coordinate internal and external audit processes, certifications, and compliance.
  • Provide continual evaluation of processes and procedures. Responsible for suggesting methods to improve area operations, efficiencies and service to internal clients.
  • Support on-boarding process for employees, such as seat assignments, creating access and security badges and coordination of desk set-up.
  • Handle Move/Add/Change and space management operations for assigned locations.
  • Respond to any afterhours emergencies required for the facility; Assess emergency situations, notify management and figure out the best course of action.

 

  • Bachelors’ Degree required
  • Credentials such as (IFMA) Facilities Management Professional or Certified Facility Manager credential, along with additional relevant certifications in lieu of degree may be considered.
  • Minimum 5 years’ experience managing workplace services and office facilities teams across multiple locations, or single locations having >/= 1,500 seated staff.
  • Demonstration of progressive management experience.
  • Ability to demonstrate and act upon a thorough understanding of facilities and workplace services operations within a large corporate office environment.
  • Ability to handle multiple demands, to set priorities, and delivery high quality of work product in a timely manner.
  • Strong problem-solving skills in dealing with ambiguity in an environment where urgency is often required.
  • Past experience/relationships working with multiple property management firms, building inspectors and regulatory auditors, facilities and maintenance vendors.
  • Experience with construction and decommission projects, office build-outs, remodels, etc.
  • Knowledge of security systems, access control and camera systems
  • Should possess strong interpersonal skills in order to manage and deliver results for diverse teams and internal functional areas. Position continually requires demonstrated poise, tact and diplomacy.
  • Excellent verbal and written communication skills; Requires a good command of the English language, verbal and written.
  • Ability to influence, negotiate and partner with internal clients and external vendors.
  • Proficiency in Microsoft Office, extensive Excel, Sharepoint, accounting/purchasing platforms and web based applications.
  • To be successful in this position, the incumbent needs to be punctual, have regular in-office attendance, and be available and visible to our clients. This is not a telecommuting position.
  • Ability to travel within Tampa, FL-region locations; Potential 5% domestic travel to other company locations sites where required
  • Physical Demands: You will frequently be required to sit, stand, walk prolonged distances, reach with hands and arms, climb or balance, stoop, kneel and crouch. In addition, you will frequently lift and/or move up to 50 pounds.
