We are seeking an experienced Marketing/Leasing Consultant with compliance experience. Candidates should possess multi-family property management experience with knowledge of multi-layered financing programs, not limited to, Tax Credit, Bond, SHIP, HOME, SAIL, Project Based, etc. The position involves heavy documentation/data entry, a high volume of document processing with monitored deadlines.

GENERAL PURPOSE:

Provide prospective residents with positive overview of the community. Responsible for the leasing of all apartments including, but not limited to, promoting your community via social media outlets such as Facebook, Instagram and Twitter, taking prospective resident phone calls, giving tours, processing on line and lease paperwork, and performance of miscellaneous clerical duties.

ESSENTIAL FUNCTIONS:

  • Marketing and Leasing
  • Assist in preparation and implementation of marketing plan to effectively market community and generate traffic.
  • Assist in keeping Social Feeds fresh with new content.
  • Answer prospective resident calls, set appointments for community visits, and input traffic in computer.
  • Tour community and show apartments to prospective residents, including facilities, grounds, and other amenities.
  • Qualify, demonstrate, and lease apartments in accordance with Fair Housing Laws and company policies and procedures.
  • Regularly research market and competition by obtaining information about other communities, pricing and availability. Inform Property Manager of findings.
  • Make monthly outside marketing calls to generate traffic and promote community in the neighborhood.
  • Assist in Personal Service Agent Program Program.
  • Administrative and Clerical
  • Process rental applications and prepare new lease agreements, renewals and process notices to vacate.
  • Assist in Communication with Residents via the property website Resident Calendar update as well as social media feeds.
  • Coordinate move-in/move-out inspections with residents.
  • Complete the admission and recertification process of all initial and re-certification applications for on-site move-ins and annual recertification’s (Application documentation via PDF scan or attached via Boston Post) in the required time frame.
  • Advise the Compliance Monitor/Assistant of on-site processing of annual recertification’s and compare to previous years to resident recertifying
  • Process all on-site compliance Lease forms to insure all files are within policy and in compliance with states monitoring agency per the compliance department’s direction.
  • Complete the on-site program/resident services back up documentation (via PDF scan) to ensure that they are in place and that they are being conducted as required on a monthly basis.
  • Resident Relations
  • Enter service requests and distribute to service staff.
  • Provide assistance to residents regarding complaints or program resolution and document appropriately on the Resident Conversation Notes
  • Assist in preparation of community newsletters, flyers, and resident letters.
  • Assist in planning of community events.
  • Update resident event calendar on community website.

JOB SPECIFICATIONS:

  • Two to four years’ experience in property management or management experience in related industry with specific experience in the area of Compliance. Must be able to demonstrate acquired knowledge needed to maintain Compliance requirements at an affordable community. Certain certifications may be required as necessary to perform job specifications.
  • Must possess the ability to read, comprehend, and follow simple to moderately complicated verbal and/or written instructions to perform tasks assigned and to maintain Must possess basic arithmetical calculation skills (addition, subtraction, multiplication, division, percentages, etc.) This level of proficiency is normally achieved through completion of a high school education or its equivalent.
  • Must have excellent verbal and written communication skills and be able to effectively communicate with residents, staff, and other suppliers or vendors to ensure efficient operation of office activities. Proven customer service skills.
  • Must have experience working with computers and be proficient in MS Office (Word, Excel, and Outlook). Prior experience working with community management software and web-based programs is preferred.
  • Work with multiple deadlines, maintaining efficiency and control over projects Assigned within time frames allowed and changing priorities.
  • Possess a basic knowledge of sales/marketing techniques and bookkeeping/accounting theory and This knowledge may be acquired through sales/marketing/accounting courses in high school or college, or three to six months’ on-the-job training. Must be able to work with various kinds of people, maintaining a professional, positive tone.
  • Have basic knowledge of leasing agreements and terminology. Have basic understanding of landlord/tenant laws and fair housing regulations.
  • Ability to assess a situation and come to an appropriate decision quickly.
  • Must be able to work scheduled hours and have flexibility for periodic additional hours, depending on work flow and emergencies.

WORKING CONDITIONS:

Typical working environment is in an office setting on a multi-unit residential community, working with a personal computer at a desk and a telephone. Travel for short or extended periods of time may be required. May entail local travel to purchase supplies, make deposits, and/or attend events on an as needed basis. May also involve greeting and taking prospective residents to vacant apartments in a multi-level apartment community. May be subject to outdoor weather conditions ranging from rain or snow to excessive heat during the seasonal months.
