Ybor City Chamber of Commerce
Member & Event Coordinator Job Description
Hours: Monday-Friday 9am to 4pm (30 minutes for lunch)
30-40 hours per week
Office Administration
- Answer all incoming telephone calls
- Provide information regarding the Chamber, Ybor City, and general questions
- Gather and log social media and Google analytics statistics monthly
- Maintain office supplies
- Prepare general correspondence
- Prepare and send thank you notes, emails, etc. to those attending various events and/or meetings
- Keep office clean and neat to ensure a professional work and visit environment
- Support the President & CEO administratively
- Be the in-person point of contact for visitors to the Chamber office Monday – Friday, 9am to 4pm
- Other duties as assigned
Membership Maintenance
- Input new Chamber members into ChamberMaster (see checklist)
- Maintain ChamberMaster data and reports
- Create and post new member announcements on social media, website, and e-newsletter
- Prepare new member packets and conduct new member orientations
- Share new members’ information with staff, board of directors, and ambassadors
- Conduct member retention activities through phone calls, emails, and in-person visits
- Recruit new members
- Process all member invoices, statements, payments, and credits
- Maintain all member web information and access to Chamber website
- Post and maintain Chamber events in ChamberMaster & social media
- Register and accept payments for applicable Chamber events
- Advise members on website navigation including registering online
Social Media
- Facebook: Post Chamber events, announcements, and news. Share relevant postings from members
- Respond to messages or queries
- Instagram and Linkedin: Post photos frequently and share relevant postings from members
Graphic Design
- Create fliers, posters, and other graphic/marketing materials for the Chamber using Canva
Event Responsibilities
- Assist with pre-planning and attendance at all applicable Chamber events
- Administratively support chamber events
Weekly Eblast Newsletter
- Input contacts into Constant Contact as needed
- Prepare the weekly e-blast with updated information on upcoming Chamber events, new member and renewal announcements, business education resources, and other relevant information
Interns
- Manage college interns in office including providing tasks for them to accomplish
- Communicate with interns regarding scheduling each week
