Full Job Description

Seeking an organized and proactive admin to work directly with the Property Manager, Office and Maintenance Staff. You will work directly with our staff to ensure all administrative tasks are efficiently and effectively implemented. Accounts Payable duties are primarily data entry for billing and filing, with high importance on accuracy. Must have strong interpersonal skills, the ability to manage multiple tasks at once, and experience managing clerical responsibilities.

Administrative Assistant Job Duties and Responsibilities

· Perform general accounting (A/P) duties for our vendor bills and data entry

· Support office staff and maintenance with work order input, close out and scheduling

· Communicate with vendors and residents to ensure completion of all jobs.

· Manage communication of information in and out of the office; letters, emails, memos, etc. (paper and electronic);

· Monitor and maintain office equipment

· Monitor and maintain office supplies; order and re-stock as needed

· Ensure office is kept tidy and organized at all times

· Follow the Fair Housing Act with residents and prospects.

· Maintain positive resident relations by responding to residents and resolving complaints, in a friendly, professional, and efficient manner. Place a strong emphasis on customer service in every action.

· Assist other team members and Property Manager in duties as deemed necessary by property circumstances and situations.

· Record resident service requests accurately and in detail to assist the maintenance team in the timely completion of all requests.

· Monitor maintenance requests and communicate with maintenance staff and residents to assure problems are resolved adequately

Qualifications

· Experience as an administrative assistant and/or accounting clerk

· Fast, proficient, and accurate typist

· Extensive knowledge of Microsoft administrative programs

· Outstanding communicator, both orally and written

· Excellent customer service skills

· Self-starter who works well independently

· Ability to prioritize given tasks and work efficiently towards completing them

· Detail-oriented and exceptional organizational skills
