The following are skills needed to perform the essential functions of the position of Administrative Assistant for the Food and Dining Department. The ability to:

  • Perform the essential functions of the job in a manner that benefits residents of the facility and complies with business necessity.
  • Responsible for assisting the Dining Director.

DUTIES AND RESPONSIBILITIES

The duties and responsibilities of the DiningAdministrative Assistant include preparing paperwork and assisting residents all in accordance with current applicable federal, state, and local standards, guidelines and regulations, policies, and procedures, and as may be directed by the Dining Director to assure that accurate reporting is completed at all times. The person holding this position is delegated the responsibility for carrying out the assigned duties. Primary duties include managing the dining department paperwork, menu production, event calendar, assisting with inventories, diet reports and all clerical duties related to the Dining department.

ESSENTIAL FUNCTIONS OF THE JOB

The following job functions have been determined to be essential to the position of Dining Administrative Assistant. Because of fluctuations in workload demands, as well as tasks often overlapping, frequency ranges and percentages vary by assignment, day of week, day, evening, or night shift, etc. However, low frequency and percentage or duration of time spent on a particular task may not indicate lack of importance.   • Prepares invoices for accounting and maintain a spend down for expenses.
  • Produce weekly and daily menus.
  • Maintain training records and assist with training preparation.
  • Cue director on performance reviews and employee needs.
  • Produce event flyers.
  • Maintain weekly posted menus.
  • Maintain production sheets, temp logs, equipment logs etc.
  • Produce diet reports.
  • Assist with inventories.
  • Maintain and cue staff on resident birthdays.
  • Cue staff to new resident move-ins.
  • Assist with recruiting new staff members.
  • Maintain staff attendance records.
  • Type all of Dining Director’s correspondence.
  • Produce memos.
  • Answer incoming phone lines and assist with phone calls when needed.
  • Interaction with residents.
  • Help during resident socials and special events.
  • Set up all Dining Director’s appointments.
  • Check voicemail for Dining Director .
  • Update staff contact lists.
  • Create forms for office use when needed.
  • Any other duties as assigned by Dining Director.

OTHER

In addition to the essential job functions described above, the following job functions are important to the proper fulfillment of the duties of Dining Administrative Assistant.

  • Must be aware of and understand the needs of the elderly.
  • Must be able to recognize unusual behavior or physical condition of residents.
  • Must be thoroughly familiar with all facility policies and procedures.
  • Must be familiar with current licensure rules and regulations governing the Dining Department.

EDUCATION REQUIRED

In the interest of residents, Administrative Assistants will have the preferred minimum educational background of having a high school diploma or GED equivalency.

EXPERIENCE

Administrative Assistants will have six months experience working in a nursing home, hospital, home health agency, or other health care facility. Tjm Property Management Inc
