Full Job Description

We are looking for a reliable Office Admin with experience being a Director of First Impressions.

The Office Admin tasks will include; greeting guests and visitors, administrative support, some accounting, calendar management, and facilities oversight. The ideal candidate will be competent in prioritizing and working with little supervision. They will be self-motivated, ask questions, and trustworthy.

They will play a key role within the office environment and be responsible for several day-to-day activities, including overseeing the office’s operations. The Office Admin will also organize any company events or meetings and work on data entry tasks, along with a variety of other front office responsibilities.

Responsibilities

  • Coordinates office activities and operations to secure efficiency and compliance with company policies.
  • Managing Executive Calendar’s
  • Manages phone calls and correspondence (e-mail, letters, packages, etc.)
  • Carries out clerical duties such as phone calls, responds to emails, and prepares documents to include letters, and presentations.
  • Maintains general office files, including client and vendor files, and all other files related to office operations.
  • Manages all inbound and outbound mail and shipments.
  • Assist in meetings, events, and travel coordination.
  • Oversees the maintenance of office facilities, and equipment.
  • Provides support for accounting functions, including receivables and payables.
  • Supports the entire office from an administrative perspective.
  • Creates and updates records and databases with personnel, financial and other data as requested.
  • Tracks stocks of office supplies and canteen supplies and places orders when necessary.
  • Oversees all facilities and projects in the main HQ building and 2 other properties owned by Marketopia.
  • Assists colleagues whenever necessary.

Requirements

  • High school diploma
  • Proven experience as an office administrator, office assistant, or relevant role
  • Outstanding communication and interpersonal abilities
  • Highly detail-oriented
  • The ability to self-manage is critical
  • Multi-tasking and time management skills, with the ability to prioritize tasks
  • Excellent leadership & time management skills with a proven ability to meet deadlines
  • Familiarity with office management and facilities procedures
  • Excellent knowledge of MS Office
  • Previous experience in an administrative, Office administrator, or similar role – desired
