Job Overview:
The Administrative Assistant will perform administrative duties as needed to support the daily flow of work. Clear and concise communications with clients, service technicians and third-party vendors is required.
Reports to: Office Manager
Employment Eligibility:
· Previous experience in office administration or other related fields
· Ability to prioritize and multitask
· Excellent written and verbal communication skills
· Strong attention to detail
· Strong organizational skills
· Valid driver’s license and insurable driving record required
· Bilingual Spanish/English
· Proficient knowledge in computer skills: MS Office – Word, Excel, Outlook
· Notary is a plus
DETAILED JOB FUNCTIONS:
· Assist with job applications
· Process payroll for department
· Type proposals as needed
· Complete Notice to Owner information
· Assist with permitting documents
· File documents properly and in a timely manner
· Prepare invoices and closeout packages for customer.
· Answer phone in a professional manner
· Direct calls to their destination without delay
· Respond to all emails and voicemails in a timely manner
· Assist and perform all tasks as required such as faxing, letters and other clerical tasks
· Update job lists, phone lists and references
· Run miscellaneous errands
· Perform additional work as directed by manager including administrative activities and clerical tasks
