Overview
The Office Administrator is responsible for planning and managing the office services for the local ABILITY office. Responsibilities include records and information management, facilities maintenance and support, vendor operations, and other office support services.
Responsibilities
- Establish positive first impressions and greets guests to ensure effective in-person, telephone and e-mail communications both internally and externally
- Collaborates with HR and IT departments to facilitate the new hire onboarding process for the local office
- New hire setup which includes workstation arrangement, nameplate and supplies
- Act as liaison with local property and building management for office repairs and maintenance
- Research and request quotes from vendors as needed
- Maintain office seating chart
- Order, distribute and store supplies
- Monitor the office to ensure that it remains safe, secure, and well- maintained
- Responsible for the facilities day-to-day operations (such as distributing building access keys and back-up to security access cards, etc.) Insures proper security measures are followed by employees, vendors and guests when accessing office suite
- Leads the local Safety Team
- Oversee the maintenance and repair of office machinery and equipment
- May prepare, sort, meter and distribute mail, receive deliveries and create Fed-Ex labels
- Provides back-up support to Administrative team as needed
- Participates in special projects as needed
- Other duties as requested and/or determined
Qualifications
- High School Diploma, College degree preferred
- 3 plus years of experience in Office or Administrative Support
- Proficient in Microsoft Office suite
- Excellent customer service skills
- Excellent verbal and written communications skills
- Excellent time management skills
- Self-motivated with strong organizational/prioritization skills
- Ability to multi-task with close attention to detail
- Proven ability to work effectively under pressure & meet deadlines
