About the Position:
Under the direction of Accounting and Finance leadership, the Office Administrator/Bookkeeper is responsible for the payment of goods and services purchased by the organization by providing financial and administrative support services. This includes processing and monitoring payments and expenditures in an effective and efficient manner to ensure invoices are accurate and vendors/suppliers are paid within established time limits. This role is also responsible for the day-to-day processing of AP transactions to ensure company financials are maintained in an effective, up-to-date and accurate manner by performing the following duties which include but are not limited to:
Responsibilities:
Full cycle processing of AP invoices
Entering batches of invoices for payment
Conduct weekly check runs – printing and preparing checks for distribution
Entering void checks and stop payments
Work with internal and external customers when issuing emergency checks, resolving billing issues, questions on reimbursements, etc.
Process expense reports and employee reimbursements
Deposit customer deposits into the bank and record in accounting system
Overseeing the AMEX corporate card program, including but not limited to the issuance of new cards, providing training as well as educating and ensuring compliance by cardholders
Auditing monthly AMEX transactions and receipts for compliance with company policies
Support the business office managers in the field by providing AP support
Assist in month end financial close responsibilities and reconciliations as needed
Administrative tasks as needed
Mail distribution
Bank Deposits and other tasks at local bank
Qualifications:
Minimum 4 years of Accounts Payable/Bookkeeping experience
Strong attention to detail and accurate data entry
Associates or Bachelor’s degree in Business or Accounting is preferred
Experience with Microsoft Office as well as QuickBooks
Experience with Sage Intacct a plus
Ability to stay organized
Dedicated and ability to meet deadlines
Makes sound and timely decisions
