Office Administrator/Client Relations Coordinator
(Full Time Position)
Griffin & Van Pelt, P.A., a small Clearwater law firm specializing in Estate Planning,
Probate and Trust Administration, has an opening for a full time Office
Administrator/Client Relations Coordinator. Office hours are 8:30 am to 5 pm, Monday through Friday . Preference to have at least two (2) years of office experience.
Compensation is based on applicant’s experience. Please submit resume to attorneys,

Requirements
- Have a positive attitude and excel in a team environment.
- Anticipate needs and to think outside the “box” to offer solutions.
- Highly detail oriented, organized, and able to prioritize duties.
- Ability to work with a high level of accuracy.
- Able to communicate effectively both verbally (telephone and in person) and in writing.
- Experience in handling confidential and sensitive information.
- Must be proficient in Microsoft Office, Excel, Adobe Acrobat, document management software and the ability to learn new software. Familiarity with legal software such as
PC Law, Westlaw and Lawgic is a plus.
- Great people skills.
- Willingness to do all tasks that are required of a small office.
- Work with numbers such as payroll and computerized checks.
- Scheduling and calendaring meetings.
Responsibilities
- Communicating with clients in writing, telephonically and in person.
- Welcoming clients and helping clients with paperwork.
- File management, opening and closing files, processing mailing lists and updating excel spreadsheets.
- Participation in client meetings, estate plan signings, making binders for client documents.
- Administrative tasks such as answering phones, making appointments, processing incoming and outgoing mail, copying, scanning, filing and other tasks as required by a small office.
- Light bookkeeping, payroll, paying monthly invoices and reports for payroll and assist
CPA in preparing end of year reports.
- Ordering supplies and dealing with vendors.
- Routinely calendar reminders and meet deadlines.
- Handle insurance payments and requirements for renewal of insurance policies.
- All other routine day to day operations to run and maintain a professional office.
