Office Administrator

This is an office administrator position supporting the President, Vice President, and Project Manager for a well-established commercial construction company with an annual volume from $12mil to $16mil. This is a small office where the position handles many task daily. This position requires flexibility and the ability to multi task in a diverse and fast pace office environment.

The ideal candidate will have exceptional communication skills, computer literate with experience in MS office programs as well as the ability to learn new industry specific programs. Applicant must be self-motivated with excellent time management skills and a desire to be an integral part of the companies operation and growth.

Duties will include but are not limited to:

Front Desk/Reception

  • Greet visitors
  • Answer phones and direct calls/take messages
  • Receive and send express mail (Fed-Ex, UPS)
  • Receive and deliver drawings for reproduction

General Office Administration

  • Open/sort mail (separate into invoices and general correspondence)
  • Stamp all invoices to prepare for payment (date received and cost coding stamp)
  • Prepare correspondence for mailing/apply postage
  • Notarize documents (customer billing, subcontractor waivers, bids)
  • Maintain office supplies/prepare orders for approval when required
  • Organize and maintain project archive file room (drawings, project files)
  • Maintain project files
  • Maintain vendor files
  • Maintain A/P check run files
  • Maintain company vehicle files
  • Subcontractor insurance/license administration
  • WMBE Vendor Administration

Tasks Supporting the President/Vice President (Applicant will not be directly responsible for these tasks)

  • Notice to Owner/Lien Waiver tracking and filing
  • General Accounting (Provide support to the a firm who performs the accounting for the company)
  • Accounts payable
  • Customer billing
  • Project Close-Out Administration
  • Prepare close-out binder/manual & electronic manual
  • Collect and organize all documents for close-out
  • Marketing

General

  • This position requires you to work independently within the given guidelines
  • There are times when this position will be the only person in the office
  • Applicant must be responsible and have the ability to maintain confidentiality with regards to internal company documents.
