Full Job Description

Our office is a commercial real estate appraisal firm. We are looking for a reliable and self-motivated candidate with strong leadership skills to manage our appraisal firm and client relations. This candidate will undertake administrative tasks, ensuring the rest of the staff has adequate support to work efficiently. The job tasks will include management of our appraisal bid system for 10 staff appraisers, setting up and closing appraisal jobs, various bookkeeping skills that include working with our corporate accounting team on invoicing, bank deposits, etc. The candidate must be proficient in multi-tasking, written communication skills, Microsoft Office skills, efficient data entry, making phone calls, computer skills, time management skills, and the willingness to learn our internal systems. The ideal candidate will have a cheerful and positive attitude and be competent in prioritizing and working with little supervision. The office administrator ensures smooth running of our company’s office and contributes in driving sustainable growth.

Responsibilities

  • Coordinate office activities for appraisers and operations to secure efficiency and compliance to company policies
  • Manage agendas/travel arrangements/appointments etc. for the upper management
  • Manage phone calls and correspondence (e-mail, letters, packages etc.)
  • Support corporate accounting and bookkeeping procedures
  • Create and update records and databases with personnel, financial and other data
  • Track stocks of office supplies and place orders when necessary
  • Submit timely reports, manage office compliance module
  • Assist colleagues whenever necessary

Skills

  • Proven experience as an office administrator, office assistant or relevant role
  • Outstanding communication and interpersonal abilities
  • Excellent organizational and leadership skills
  • Familiarity with office management procedures and basic accounting principles
  • Excellent knowledge of MS Office and office management software (ERP etc.)
  • Qualifications in secretarial studies will be an advantage
  • High school diploma; BSc/BA in office administration or relevant field is preferred
