We are the largest locally owned independent real estate brokerage in Tampa Bay seeking tech savvy candidates for Office Administrator with responsibilities to include:
- Greeting client’s in-person or via phone as they contact the office. Routing calls and people to the appropriate individuals based on client/agent/staff needs. Offer refreshments and guidance to in-person visitors.
- Sort and Distribute Mail. Scan invoices and other necessary correspondence to Departments. Notify Associates of incoming faxes, packages and paperwork. Distribute as necessary.
- General Office work as needed; maintaining and updating spreadsheets, mailing lists, creating and mailing letters, answering email.
- Master office opening and closing procedures.
- Assist Listing & Contract Teams with Management of Transactions in Transaction Management System.
- Assist associates with creation of marketing materials through use of templates and ordering portals.
- Assist associates with creation of custom mailing lists.
- Maintain stock of printed associate marketing materials.
- Assist Manager with staff meetings and education/event scheduling in office.
- Assist associates with CRM tools and functions including Social Media management and email blasts.
- Process remote deposit of checks to bank and save support for Contract Team.
Position is full time, Monday-Friday, 8:30am-5:30pm.
