Position Overview

Looking for an Office Administrator to join our team. You will be responsible for planning and managing services in our Tampa, FL office. You will provide general and legal administrative support for the management team and maintain effective communications with executives and managers across the company. The ideal candidate will be a self-starter, well-organized, detail-oriented and flexible. The Office Administrator will be based in our Tampa, FL office.

Essential Position Duties and Responsibilities

  • Coordinate office activities and operations to secure efficiency and compliance with company policies
  • Manage phone calls and correspondence (e-mail, letters, packages etc.), coordination with visitors (internal and external) and general administrative activities
  • Collaborates with HR and IT departments to facilitate the new hire onboarding process for the local office
  • Manage employee set up for new hires including workstation arrangement, nameplate, and supplies
  • Liaison with local property and building management for office repairs and maintenance
  • Research and request quotes from vendors as needed
  • Track stocks of office supplies and place orders when necessary
  • Monitor the office to ensure that it remains safe, secure, and well- maintained
  • Responsible for the facilities day-to-day operations (including maintenance and cleanliness of office)
  • Oversee the maintenance and repair of office machinery and equipment
  • Prepare correspondence and reports as required
  • Coordinate meetings and events, including onsite and offsite team and company meetings
  • Producing drafts of contracts to be reviewed by upper management or outside counsel.
  • Review proposals for changes in contract terms and contract renewals.
  • Assure that contracts and related documents are properly organized and stored
  • Work collaboratively and effectively with all levels of management and staff within the organization
  • Other duties as assigned

Experience/Skills

  • High school diploma required; BSc/BA in office administration or relevant field is preferred
  • 1-3 years of experience as an office administrator, office assistant or relevant role
  • Outstanding communication and interpersonal abilities
  • Experience providing administrative support in a corporate legal environment is preferred
  • Excellent organizational and leadership skills
  • Ability to work in a fast-paced, high transaction environment with deadlines
  • Proficient working with Microsoft Office Suite including Word, Excel, PowerPoint and Outlook and Adobe
  • Critical thinking, research, and problem-solving skills a must
  • Must be well-organized, detail oriented and skilled at time management
  • Strong verbal and written communication skills a must
  • Experience supporting sales teams at a SaaS or subscription-based company
  • Experience with SalesForce.com is a plus
