A DAY IN THE LIFE OF THE OFFICE ADMINISTRATOR

This individual will performs general administrative and clerical duties in support of the Tampa, FL office. Duties will include but are not limited to preparing, reviewing, disseminating, and filing routine correspondence, documents, and reports, assisting team members with various requests, answering the telephone, and greeting visitors. The successful candidate will have the ability to multi-task while exercising independent judgment, confidentiality, and discretion.

 

RESPONSIBILITIES:

  • Performs receptionist, general administrative, and clerical duties. Opens, sort and distributes incoming mail; prepares and deposits outgoing mail
  • Greet and assist visitors to the office
  • Coordinate conference room arrangements, agendas, itineraries, and catering for customer visits or internal meetings
  • Book travel and accommodations, create and submit expense reports
  • Answer telephone calls and manage messages and correspondences
  • Create correspondences, reports, meeting notes, memos, letters, charts, tables or presentations in support of business
  • Organize social events such as gatherings, holiday parties or picnics for the Atlanta office
  • Manage the ordering, inventory, and stocking of all office supplies
  • Coordinate small and large package assembly as well as inter-office package deliveries via FedEx, UPS, USPS, etc.
  • Complete other projects and individual assignments as needed

QUALIFICATIONS:

  • Minimum high school diploma or equivalency required
  • 1-3 years of administrative or clerical experience.
  • Intermediate level experience with Microsoft Office Suite.
  • Attention to detail, follow-through, and accountability.
  • Ability to effectively assist and communicate with offsite Team Members throughout different geographical areas.
  • Strong ability to be flexible, effectively adapt well to change and handle a variety of job responsibilities.
