Job Title : Executive Assistant/Office Administrator

Wage : Based on Experience, non-exempt

Reports to : President and Director of Operations

Status : 30- 40 hours/week.

Summary: The ideal candidate will be an energetic, friendly, motivated, outgoing and hardworking individual who takes initiative. Flexibility in schedule is required. Proficient computer skills is a must (GSuite, Microsoft Word, Excel, Powerpoint).

Job Description

  • Work with teams to maintain calendars which would include scheduling meetings and appointments.
  • Set up and maintain organized executive filing systems and maintain electronic databases.
  • Screen executive phone calls/solicitors answering, screening and returning calls thoroughly and with diplomacy per supervisor’s instructions; handle routine items.
  • Work on special assignments and coordinate group events as needed. Such assignments may require research, development and/or interpretation of data and be performed with little supervision or instruction.
  • Prepare executive presentations and coordinate collateral material for organizational meetings.
  • Answer all incoming phone calls and redirect to appropriate team member, or answer directly.
  • Data entry into Hubspot marketing platform
  • Work with management to main AR records for specific events
  • Prospect potential clients for events
  • Attend all team meetings, record minutes, and distribute
  • Procure and inventory promotional products.
  • Special projects and assignments as needed

Qualifications

  • 2+ years experience in any of the following fields: Office Administration, Project Management, Marketing, Sales, Event Planning & Hospitality Management
  • Technical College or Associate’s Degree
  • Proficiency in MS Word, WordPress, Facebook, Instagram, Twitter and Google platforms
  • Detail-oriented and have great organizational skills
  • Ability to multi-task
  • Must possess valid driver’s license
  • Advanced knowledge of general business and company procedures.
  • Excellent communication and interpersonal skills are essential.
  • Ability to maintain confidentiality at all times is critical.
