Position Summary

The Office Associate (FT) is responsible to review the overall sufficiency and completeness of information contained on the documents being filed, and coordinates with the appropriate process server. The OA will also accurately generate invoices for clients and apply appropriate fees to process servers within the case management system (Status Pro), for services performed. The OA will also assist the team lead/operations mgr or other associates as needed.

Essential Functions

  • Responsible for reviewing court pending jobs and ensuring correct process server/vendor is appointed to complete service.
  • Identify new vendors as needed, and obtain information on pricing and services.
  • Reviewing and preparing new work received each day for completion and accuracy.
  • Coordinates with correct process server and ensures all files are received and consistent with legal and Firefly standards.
  • Review online county court dockets, and contact clerks daily to provide updates on open cases
  • Ensures all necessary documents are delivered and picked up from court.
  • Responsible for scanning necessary documents into StatusPro for each file/job.
  • Responsible for reviewing and preparing summons to be sent out each day.
  • Reviews and processes jobs in Status Pro and accurately bills clients for services performed.
  • Responds appropriately and effectively to all (External & Internal) email requests in a timely manner, uses judgment to prioritize requests according to greatest urgency, significance, etc.
  • Reviews and applies fees in Status Pro, for services performed by vendors.
  • Reviews pending/open files received, and closes out file as necessary.
  • Other tasks, special projects, etc. as assigned from time to time.

Requirements

  • Strong level of quality orientation and attention to detail.
  • Ability to communicate clearly and effectively verbally and in writing.
  • A willingness and ability to take initiative, and well-developed sense of professional and individual responsibility.
  • Strong customer service orientation.
  • Proficiency with standard office technology, including PCs, MS Office; and the ability to learn new systems used in-house.
  • Ability to work effectively with others collaboratively.
