Summary/Objective

We are a Residential Property Management company managing single family homes in the Tampa Bay area. The Maintenance Coordinator provides lead direction and coordination of maintenance requests. This position monitors maintenance calls and repair activities, and establishes work schedules and prioritizes activities of vendors to ensure that work is completed as directed and on time. The position also requires input of bills, and following up on vendor estimates.

  • Demonstrate a positive, professional and client-oriented attitude about the company with coworkers, tenants, clients and the public whether contact is by mail, telephone or in person. Constantly strive for improvements in work process and results to better meet client’s expectations.
  • On assigned properties assure that the company’s efforts fully meet and exceed contractual property management obligations.
  • Develop scopes of work for small improvements/services and seek out qualified vendors to bid the work.
  • Developing and maintaining relationships with vendors, negotiating pricing, collaborating on approved vendor list, keeping vendor list updated.
  • Maintain complete and accurate property files and records, according to department systems, with an emphasis on documentation for future reference. Coordinate with the Office Manager and support staff on management company procedures for processing and distributing information. Provide prompt, detailed and accurate general status reports on all properties assigned.
  • WrightDavis has developed an emergency service and all PM’s and MM’s need to be available after hours and for a 24 hour per weekend coverage as required.
  • Continually evaluate service needs and performance in all areas of maintenance for your assigned properties.
  • Manage tenant relations and coordinate requests for repairs and maintenance, lease issues and other tenant concerns. Input all invoices into the portal and follow up with all estimates.
  • Establish and maintain collaborative working relationships with coworkers.
  • Keep abreast of systems and procedures related to maintenance management.
  • Must perform detailed home inspections using checklists and take photos of homes both with tenants residing and vacant.
  • All employees are expected to help maintain a positive online reputation for WD. In doing so, all employees are expected to gain positive reviews on all online platforms.
  • Our office is a team environment and you may be asked to cover other desks during peak season or as needed thought the year.

This position has no supervisory responsibilities.

Work Environment

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

Position Type/Expected Hours of Work

This is a full-time position. Days and hours of work are Monday 8 a.m. to 5 p.m., Tuesday through Friday, 8:30 a.m. to 5 p.m. Position requires in office attendance.

Travel

All Maintenance Managers may be asked to travel to assigned properties for posting of notices, inspections or other owner needs.
