The Office Manager (OM) is specifically responsible for managing the day-to-day needs of the company’s professionals as well as maintaining the office infrastructure. The OM will organize and coordinate office administration and procedures to ensure organizational effectiveness, efficiency and safety.

The OM should be an energetic professional who enjoys wearing multiple hats. The OM should also be experienced in handling a wide range of administrative and executive support related tasks.  They should be able to work independently with little or limited supervision. The OM should be well organized, flexible and enjoy the administrative challenges of supporting an office of professionals The OM should have a can-do attitude (even for repetitive work) and a willingness to do the blocking and tackling necessary to achieve the office professionals’ objectives.

Office Upkeep:

  • Receive guests and visitors in a cordial manner, projecting professionalism
  • Be the point person for office maintenance, mailing, shipping, supplies, equipment, and errands
  • Answer incoming phone calls, screen and validate callers, then route call appropriately
  • Organize and schedule meetings and appointments as requested
  • Coordinate breakfast/lunches for on and/or offsite meetings, office events, special occasions
  • Facility maintenance – schedule regular deep cleans, carpet cleanings, paint touch ups, furniture repair/replacements
  • Monitor and maintain breakroom supplies and cleanliness (snacks, coffee, tea, paper products etc.)
  • Conduct Inventory and order supplies as needed: Coke products, coffee and tea products, office supplies, fruit and creamer supplies, etc.

Employee Relations:

  • Assist in managing executives’ schedules, calendars and appointments
  • Monitor and Coordinate Conference Room schedules
  • Lead and cultivate a team environment
  • Business Cards – receive requests and input in Marketing spreadsheet, follow up on delivery
  • Paycheck Mailings – Mail new hire paychecks in accordance with Payroll
  • Establish and monitor procedures for record keeping Access Badges – maintain records, provide new badges for new hires, monitor guest badges, terminate exiting employees access
  • Assist with seating charts – updates as needed to reflect new hires and department moves
  • Assist with the rebranding of offices – work with Marketing and/or Facilities to coordinate and design office space
