Rahenkamp Design Group is a boutique landscape architecture/land planning firm established 30+ years ago within the Palma Ceia District of Tampa. Our firm is seeking an Office Manager who will oversee the efficient functioning of the business and ancillary corporations through various administrative, clerical, financial and managerial responsibilities. This is an independent, fast-paced position that will facilitate the smooth running of our office and support other staff members. Ideal applicants will have a strong background in accounting, computer software and technology, who take pride in their place of employment and their work responsibilities. Additionally, applicants must have prior experience with managing all aspects of a “small business” office, as only training about the company’s operations will offered.

Duties and Responsibilities:

  • Manage the accounts payable and receivable
  • Manage business’s income, cash flow, accrual, profit loss, etc. statements
  • Manage and balance monthly statements for bills, credit cards, checking, savings, stocks, money market, profit sharing, etc.
  • Prepare and oversee invoices utilizing Timeslips
  • Manage and reconcile all financial accounts; coordinate with accountant and other financial professionals
  • Maintaining all financial records, bank deposits, insurance and payroll taxes
  • Managing all paperwork for current and new projects
  • Maintaining and organizing 300+ project files
  • Managing commercial and residential rental properties
  • Managing marketing materials, social media and website
  • Day-to-day upkeep of the office (trash, maintenance, supplies, etc.), along with resolving day-to-day office problems
  • Answering the telephone, dictation, writing formal letters, etc.
  • Managing incoming and outgoing mail
  • Scheduling internal and external meetings via Outlook
  • Research associated with our work product, including but not limited to obtaining property information, ordering plans and data from government agencies, researching utility information, typing handwritten memos and transcribing audio tapes
  • Problem solving skills, good decision making abilities, integrity, resourcefulness, creativity, ability to supervise, assertiveness, flexibility, and the ability to cope with pressure
  • Ability to learn and adapt to new situations quickly

Must have the following in order to apply:

  • Bachelor’s Degree
  • A minimum of five (5) years of experience as an Office Manager
  • Valid driver’s license
  • Experience with Quicken or ability to immediately transition from QuickBooks to Quicken; applicants will be required to demonstrate proficiency with Quicken and accounting standards
  • Superior writing, editing and mathematics skills
  • Above average computer skills

Preferred Skills:

  • IT knowledge is a plus
  • Notary Public
  • Real estate knowledge
  • Experience with Timeslips
  • Experience with WordPerfect
  • Experience with the functions of Adobe Acrobat (not Adobe Reader)
  • Member of AEAP, NOMAA, ASAP
  • Proficiency with Microsoft Office

Work Environment:

Days & Hours:

  • Full Time position
  • 40 hours per week
  • Monday thru Friday
  • 8:30 AM to 5:00 PM
  • Complete work schedule will be discussed with the applicant.

Pay:

$40k to $60k – based upon experience. Benefits include health insurance, vacation, sick leave, holidays and profit sharing.
