Office Manager/Administrative Operations Assistant to CEO
The role of the position is to help the CEO prioritize and manage a multitude of tasks both macro and micro. The candidate should have advanced skills in technology, communications, organization, and problem-solving. The successful candidate will be able to multi-task and take assignments from beginning to completion, work independently in a deadline-driven environment and have a high level of curiosity to learn.
This position will report to two partners that own multiple businesses in:
- Private Equity
- Debt Settlement
- Real Estate Finance/Hard Money
- Real Estate Development
This position is the primary point of contact for all matters pertaining to the COO/CEO. Provides confidential high-level administrative support to the Advisory Board. Types drafts, assimilates and distributes correspondence for COO/CEO. Maintains corporate files and proper filing of all correspondence. Serves as Administrative liaison to the Advisory Board.
A significant level of trust and diplomacy and the ability to build relationships with investors is required. Must be highly professional and possess the ability to conduct In-depth dialogues, conversations, and explanations with customers, all levels of associates, and outside contacts. Communications may be of a sensitive and/or highly confidential nature and is a normal part of the day to day experience. Communications can involve motivating, influencing, educating and/or advising others on matters of significance.
The ideal candidate must possess excellent written and verbal communication skills with proficiency in Microsoft Excel, Word, and PowerPoint and a thorough understanding/familiarity of QuickBooks.
Responsibilities and Duties – preferred
- Real Estate transactional background Closings/Contracts/Title
- Understanding of Real Estate Related Documents including Title and Mortgage Docs
- Extremely High-level organization
- Ability to follow up on Invoicing and Accounts Receivable
- Proficient in Microsoft Office
- Some knowledge of finance and QuickBooks
- Understanding of paperless organization, tech and database management
Qualifications and Skills
Three years of experience in related positions with a minimum of one-year Executive Assistant experience working with high-level executives is preferred. A college degree in a business-related field is not required but desired.
Salary Negotiable and profit-sharing is available
