Skyway Group Private Equity (“Skyway”) is a lower middle market private equity firm with six professionals. Our current Office Manager (“OM”) is retiring after working with Skyway for over eleven years. The OM will be located in our Tampa, Florida headquarters.
Position Summary
The OM is specifically responsible for managing the day-to-day needs of the company’s investment professionals as well as maintaining the office infrastructure and bookkeeping. The OM will organize and coordinate office administration and procedures to ensure organizational effectiveness, efficiency and safety.
The OM should be an energetic professional who doesn’t mind wearing multiple hats. The OM should also be experienced in handling a wide range of administrative and executive support related tasks and able to work independently with little or no supervision. The OM should be well organized, flexible and enjoy the administrative challenges of supporting an office of six professionals. The OM should have a can-do attitude (even for mundane work) and a willingness to do the blocking and tackling necessary to achieve the office professionals’ objectives.
Responsibilities
- Receive guests and visitors in a cordial manner, project professionalism
- Be the point person for maintenance, mailing, shipping, supplies, equipment, bills and errands
- Answer incoming phone calls, screen and validate callers, and route call appropriately
- Organize and schedule meetings and appointments
- Manage contract, price negotiations, and relationships with the offices’ vendors and service providers, ensuring that all items are invoiced and paid on time
- Manage executives’ schedules, calendars and appointments
- Establish and monitor procedures for record keeping
- Ensure filing systems are maintained and current
- Ensure security, integrity and confidentiality of data
- Design and implement office policies and procedures and oversee adherence to office policies and procedures
- Monitor and maintain office supplies inventory
- Maintain a clean working environment
- Make bookkeeping entries into QuickBooks, print and process checks for mailing
Qualifications, Skills & Experience
- Proven office management, administrative or assistant experience
- Knowledge of office management responsibilities, systems and procedures
- Excellent time management skills and ability to multi-task and prioritize work
- Attention to detail and problem-solving skills
- Strong organizational and planning skills
- Must be proficient in QuickBooks Online, Microsoft Word, Excel, Calendar, Contacts
