The Office Manager/Leasing & Marketing Assistant is responsible for the office management function for the Tampa division office. Additionally, will provide support to the leasing and marketing team by assisting with marketing / leasing activities to increase brand awareness, secure new customers and retain existing customers.

Responsibilities will include the following:

Office Management:
• Assist Division Accounting Manager and Division VP with Office Management G&A budget and approve invoices per budget
• Oversee record storage management
• Liaison between corporate and division for computer, video, and phone equipment including monthly IT call as required
• Negotiate contracts for misc. office services as needed and arrange for servicing of equipment as needed
• Plans and executes team building and employee events, all hands meetings, division office internal PowerPoint presentations
• Coordinate visits from corporate office for meetings, events, trainings
• Compose and distribute division-wide pertinent employee correspondence as directed by DVP
• Leadership with Wellness and HIW Helps + coordination of charitable donations
• Manage storage of concept, design development, and CD’s and make readily available to DVP
• Distribute mail and send out FedEx
• Handle office and breakroom supply orders
• Work with division accounting team to process all G&A invoices through the P-Card System

Leasing/Marketing:
• Execution of leasing and marketing tasks as required by Director of Leasing
• Gain a complete understanding of all properties and suites
• Conduct comparative market studies and demographic research as directed
• Leasing signage-installation coordination & execution
• Keep floorplans and stacking plans current and maintain CAD files
• Keep website and Available Space Inventory up to date and manage the updates to property pages on website regarding available space, portfolio changes, updated photos and floorplans as needed
• Prepare vacant spaces for property tours
• Maintains file of space plans on all buildings digitally and assembles packages for tours
• Compose and send Broker thank you e-mails
• Assist Property Managers and Marketing in coordinating customer/broker events and create/maintain calendar of all events
• Manage broker contact list in SalesForce
• Assist in preparation and distribution of presentation materials
• Assemble competing development data in suitable format readily accessible
• Manage quarterly reports & market stats from leading brokerages
• Manage/update division Land Comps file

The position requires a self-starter, creative thinker with problem-solving capabilities. Someone with the desire to be on a team of positive, success-minded individuals and who is well-organized and detail oriented. Strong computer skills and a dedication to customer satisfaction are required. Must be versatile / flexible with the ability and willingness to take on new responsibilities and tasks as requested. A multitasker who enjoys working in a fast-paced environment with a variety of people and possesses excellent interpersonal and communication skills. Must hold a bachelor’s degree in business, marketing or a related field along with 3-5 years of professional work experience. An equivalent combination of education and experience will be considered. Experience working in commercial real estate a plus.

This job operates in an office setting. This role routinely uses standard office equipment such as computers, phones, photocopiers, and filing cabinets. The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. The employee may occasionally need to climb, balance, stoop, kneel, or crouch; and lift and/or move up to 10 pounds.
