As the Administrative Assistant, you will help our growing real estate team ensure they can focus on what they do best- Real Estate!

You will represent the team, serving as a great first impression and the initial point of contact.

Administrative Duties

Maintain updated database of clients as well as suppliers, and all entities that realtor does business with, i.e. Attorneys, Association Managers, Inspection Companies, Contractors, etc. * Preparing listing agreements * Managing new listing and entering into MLS, order photos and video. Participating in preparation of regular reports on listing performance * Participating in preparation of open houses and their announcements * Update Marketing Assistant with any changes * Assisting with all due diligence: reports, specific documents, inspections, keeping track of transaction, closing scheduling meetings and appointments for showings * Preparing documents such as show-sheets and property information * Manage day-to-day office operations * Develop and implement systems for sellers, buyers, lead generation, contact database management, and back office support * Create and maintain an Operations Manual that documents all systems and standards * Coordinate the purchase, installation, and maintenance of office equipment * Serve as the first point of contact in handling customer inquiries or complaints * Responsible for keeping the Team informed regarding any problems or issues that need to be handled.

What We’re Looking For

Previous real estate experience is a plus, but not a deal breaker.

Strong attention to detail * Outstanding organizational and time management skills

Able to multitask and prioritize daily workload * Discretion and confidentiality when handling PIP information * Proficiency in Word, Excel, Windows and MAC * Excellent verbal and written communications skills * Loves organizing and tracking data * Reliable and responsive * Is flexible, experienced in professional communications, and not easily rattled * Is coachable/loves to learn/not afraid to put in the hard work to grow personally as well as professionally * Proactive (mind-reader) * Motivated and positive * Job Type: Full-time

Salary: $30,000.00 to $34,000.00 /year

Experience:

  • data entry: 3 years (Preferred)
  • Excel: 3 years (Preferred)
  • Microsoft Word: 3 years (Preferred)
