Requires experience in handling a wide range of administrative and executive support related tasks and ability to work independently with little or no supervision. Supports one Regional Senior Director of Operations in all administrative duties, this role also provides travel and expense support for up to their area. Responsible for determining weekly schedule. Documents all travel, meetings, events, and important deadlines. Organizes meetings and events. Arranges travel, manages expenses, and organizes meetings and events. The role requires expert level written and verbal communication skills, strong decision-making ability and attention to detail.

ESSENTIAL DUTIES

  • Schedules and maintains calendar of appointments and meetings for Regional Senior Director of Operations and coordinates related arrangements, as well as ensuring Regional Senior Director of Operations are aware of multiple changes to schedule. Uses Outlook exchange calendar to document all travel, meetings, events, important deadlines, and vacations.
  • Handles inbound and outbound mail and routine matters which do not require Managers input.
  • Prepares agendas, meeting minutes, and PowerPoint presentations, and coordinates meetings.
  • Writes and edits announcements for Regional Senior Director of Operations.
  • Arranges travel plans and itineraries, compiles documents for travel-related meetings.
  • Arranges meetings, conference calls, programs, events or conferences by arranging for facilities and caterer, issuing information or invitations, coordinating speakers and controlling event budget.
  • Provides on-site meeting and conference support for Regional Senior Director of Operations. This includes AV support, taking minutes, and other facilitator tasks as needed.
  • Addresses escalated Guest Service issues.
  • Tracks and verifies invoices and expenses; submits for payment. Oversee approval & payment of business invoices.
  • Prepares and handles various internal and external correspondences.
  • Other related duties as assigned.

REQUIREMENTS

Education:

  • Associate’s degree, required.
  • Bachelor’s degree, preferred.
