Full Job Description

The Operations Executive Assistant position will report directly to the COO. The OEA will be the “Gate Keeper” for almost all activity as it relates to the COO and the Regional Manager Leadership Group. The OEA will ensure policy/procedures are being adhered to and that execution and roll outs are being done by RM’s. The OEA is also responsible with making sure all Management Leaders are meeting deadlines for Action Plans, Capex, Acquisition Initiatives & Weekly & Monthly Tasking. Additionally, the OEA will take on special projects as it relates to inventory processes as well sales/marketing tracking etc..

Responsibilities

· Manages Monday Reporting with Home Office and pulls financial, occupancy & delinquency reports for COO to review.

· Gate Keeper for Monthly Financial Reports and Friday Recaps from RM’s.

· Responsible for working with team on interoffice/HR issues ensuring all field employees are following protocols and all forms, policies, and procedures on file and well documented.

· Review of corporate credit cards for Field and home office to ensure policy adhered to and expense budgets not exceeded. Receipts are in order and summaries of “red flags” sent to all parties as directed.

· Ensuring Action Plan deadlines are met, property visits are recorded and processes rolled out for all HR, & Ops Action Plans. Follow up weekly.

· Responsible for sending out all agenda’s and setting up calls for Weekly/Monthly conference calls, “Hot Topic” calls and Monthly Business Reviews

· Ensuring Leadership Calendars, Org Charts and Directories are updated weekly or as needed for the company.

· Tracking and reviewing all travel for Leadership Team

· Developing marketing initiatives as needed- MH Village, Social Media applications, website etc.

· Organizes quarterly meetings, training and financial reviews.

Qualifications:

· Willingness to travel as needed and be flexible with working occasionally on weekends.

· 3-5 years of professional qualification in business or office administration or equivalent experience

· Excellent communication skills in handling customer service, residents & employee issues with a calm demeanor

Job Type: Full-time

Pay: $55,000.00 – $65,000.00 per year
