The successful candidate will be a key team member of the Research Operations (RO) Section, assisting in the adminstration of business operations for the Fish and Wildlife Research Institute. Duties include, but are not limited to:
- Assist with hiring actions and tracking performance reviews.
- Maintain, monitor, and disseminate to staff information pertinent to business activities. Maintain, interpret and disseminate to appropriate staff relevant Commission and Institute policies and procedures.
- Track and follow up on staff assignments.
- Coordinate staff training activities.
- General office duties: process incoming and outgoing mail; schedule and coordinate meetings; maintain section calendar; maintain supplies, file, copy and answer phones, and fax documents, as needed.
- Coordinate travel, as needed.
- Maintain section property list and create SPD and/or PTR, as needed.
- Serve as the People First timekeeper for the RO Section.
- Purchasing duties for RO and Directors and HR Liaison office: order office supplies and equipment, receive merchandise, process requisitions, and prepare invoices for payment. Maintain and track perquisite orders for the RO section and sunglasses for FWRI. As PCard delegate, enter section APR charges and ensure timely submission.
- Assist with the preparation of the Research Operations and Directors budget and track spending. Responsible for tracking FLAIR and prepare budget-related reports including monthly expense reports on section budget; Prepare and handle all correction memos for the RO section.
- Back up the Facilities Management and Human Resources Liaison Office by performing administrative/clerical tasks when needed (answer phones, schedule parking, APRs, schedule room reservations, filing).
- Assist in the upkeep of section SharePoint sites.
- Maintain forms management for the section which includes; create or update forms; produce and maintain hard copies of current forms; and maintain current forms and instructions on the network; as needed. May be required to represent supervisor at administrative meetings.
MINIMUM QUALIFICATIONS:
- A bachelor’s degree from an accredited college or university and two years of administrative experience; or
- A master’s degree from an accredited college or university can substitute for one year of the required experience; or
- Administrative or clerical experience can substitute on a year-for-year basis for the required college education.
PREFERRED QUALIFICATIONS:
- Knowledge of and experience with current State of Florida purchasing rules and regulations.
- Florida FLAIR and MFMP experience highly desirable.
- Knowledge and experience with Budgets and budget tracking.
ENTRY LEVEL KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:
Knowledge of: generally accepted administrative practices and procedures and basic bookkeeping practices. Ability to: effectively solve problems, research and collect data; prepare reports; work independently and take initiative, follow direction; understand and apply rules, policies and procedures; communicate effectively verbally and in writing; establish and maintain effective working relationships individually as well as on a team. Skill in: the use of personal computers, email, spreadsheet and word-processing software; planning and organizing work; attention to details, following through in a timely manner, exceptional customer service and handling multiple tasks.
