Reports to: Senior Vice President, Legal & Business Affairs

Summary: Responsible for managing the Legal Department’s contract process and other document workflows, drafting contracts and other legal documents for attorney review, planning, organizing, and managing complex legal projects, administering company policies, and providing administrative support to Legal Department staff.

Essential Duties & Responsibilities:

  • Maintain the Legal Department’s document management system, including but not limited to reviewing contract requests from other departments, setting up and assigning contract files to attorneys, maintaining electronic contract files during drafting and negotiation, coordinating with WTA’s authorized signatories to e-sign contracts, and closing expired contract files.
  • Assist with the preparation for Board, Committee, and Council meetings, including but not limited to assisting with the preparation, organization, and distribution of meeting materials and conducting related research.
  • Draft and edit contracts, letters, and other legal documents for attorneys to review using forms/templates, including but not limited to non-disclosure, independent contractor, and services agreements, memoranda, and document summaries.
  • Assist with the administration of the organization’s policies and procedures, including but not limited to its Anti-Corruption, Contract, and Document Retention Policies.
  • Provide administrative support to the Legal Department, including but not limited to maintaining files and file systems, research materials, and corporate minutes, planning and scheduling meetings, conferences, and travel, and preparing expense reports.
  • Assist with and manage special projects and research related to the Legal Department.
  • Work with WTA’s Athlete Assistance Department to implement and manage the Player Support Team Credential System and related processes.
  • Track outside counsel fees and invoices.
  • Run document management system reports and other reports for attorneys and executives.
  • Act as first point of contact for internal clients on contract and legal inquiries.
  • Train WTA staff on WTA’s policies and document management system.
  • Assist with the administration and governance of WTA’s global affiliates.

Skills & Background:

  • A minimum of five (5) years of experience as a Paralegal or Legal Assistant with a global organization’s legal department or a law firm with substantial experience drafting, editing, and managing the workflow of contracts and other legal documents.
  • Bachelor’s degree in a related field and/or a paralegal degree or certificate.
  • Excellent written and oral communication skills.
  • Impeccable attention to detail.
  • Team player comfortable working in a fast-paced, ever-changing, global environment.
  • Highly-motivated self-starter with an ability to manage and prioritize multiple tasks and carry out responsibilities independently.
  • A high degree of professionalism and discretion with the ability to interact appropriately and comfortably with senior management.
  • Ability to anticipate attorney, departmental, and organizational needs and be proactive in completing tasks.
  • Advanced proficiency with MS Office (Outlook, Word, Excel, PowerPoint, Teams, and SharePoint).
  • General technological proficiency and experience with document/contract management (GaLexy preferred) and e-signature (DocuSign preferred) software.
  • Current Florida Notary Public or willingness to become a Florida Notary Public.
