Education

PART-TIME PROPERTY MANAGER
The purpose of this job description is to communicate the responsibilities and duties
associated with the position of Property Manager. While the following information should be
considered a comprehensive description of this position, it should also be noted that some

In this role, you must be able to demonstrate good judgment, problem solving skills, the ability to efficiently multitask, and most importantly, the capability and initiative to really demand and drive results. Additional income can be earned thru the sales of units. Every person is expected to perform any reasonable task or request that is consistent with fulfilling company objectives.

Job Brief: The Property Manager is accountable for all property operations. The purpose of the Property Manager is to effectively manage and coordinate persons, activities and available resources in order to accomplish property objectives as set forth by the Director of Operations and company.
Duties and Responsibilities:
Reports To: Director of Operations
General
- Conduct all business in accordance with company policies and procedures, Fair Housing, Americans with Disabilities Act, Fair Credit Reporting Act, and all other laws pertaining to manufactured homes.
- Demonstrate and ensure staff maintains professional levels of personal appearance (per the dress standards), hygiene, courtesy and telephone manner always while at work.
- Follow Ivie Lane Properties policies/procedures & perform any additional duties or tasks as assigned by Management.
- Attend Property Manager Meetings and complete Ivie Lane training courses as required.
- Responsible for overall asset appearance.
Administrative/Office
- Ensure that lease files are complete, and that completion of leases is being executed properly.
- Responsible for office opening on schedule, condition of office, model homes and show units.
- Maintain all files and dead files in accordance with company policy and conduct ongoing audits for all leasing, bookkeeping records and lease/resident files.
- Review rental applications and sign approval or rejection of prospects.
- Deliver notices on property.
- Fielding calls from tenants and addressing issues.
Personnel
- Hire, terminate, train, motivate and supervise all on-site staff in order to achieve operational goals of assigned property. This may include quarterly performance reviews, counseling, instructing and advising on-site staff of employee procedures and guidelines.
- Conduct on-going training with office staff; e.g., leasing paperwork, workplace safety, fair housing and any other type of training that may be needed daily.
- Oversee third party vendors and maintenance personnel.
- Conduct regular staff meetings.
Financial
- In conjunction with the Director of Operations, the Property Manager will review the formulation of budgets created by Corporate for each upcoming calendar year. The Property Manager is responsible for staying within the established budget guidelines throughout the year.
- Ensure that all rents are collected when due and posted in a timely manner. Makes sure, that all bank deposits are made daily. Follow up on delinquent rents.
- Ensure proper handling and scheduling of evictions and skipped units.
Resident Relations
- Maintain positive customer service attitude and provide quality customer service to all prospective and existing residents.
- Conduct inspections with residents and move-in/move-out when applicable.
- Review all notices to vacate to determine the cause of the move-out and identify if the resident can be saved.
- Maintain professional resident communications; e.g., concerns, warm calls, service request call backs and property newsletters.
- Conduct and attend resident retention activities as required.
- Enforce rules in community.
- Conduct weekly property inspections.
Marketing
- Communicate with Director of Operations on advertising and promotions & submit monthly Marketing Plans as required.
- Maintain awareness of market/industry conditions and trends via trade publications etc.
- Ensure all advertisements (publications, websites, etc.) are current & attractive.
- Address negative website rating comments as required.
- Ensure property compliance of Ivie Lane Standards.
Physical Requirements
- Stand and walk or sit alternatively depending on specific needs of the day.
- Have constant need to perform the following physical activities:

Climb stairs Show and inspect property
Push or Pull Inspect and show property, open and close doors
Reach above shoulder Inspect property, store/retrieve supplies
- Have constant need to perform standing and walking activities related to inspecting property.

Safety
- Report all liability and property incidents to the Director of Operations the day of the incident.
- Ensure that the property has all required permits & they are current.
Vision Requirements
- Constant need to complete forms, read and review reports and a wide variety of correspondence, view computer screen. Frequent need to see small detail.
- Frequent needs to see things clearly beyond arm’s reach (inspecting property).
- Must be able to determine colors properly for decorating, design, paint colors, etc.
Working Environment
- Indoors and frequently outdoors, all conditions.
Driving Requirements
- Frequent need to utilize personal transportation to market to surrounding neighborhood and shop comps.
- Must have valid driver’s license and automobile insurance.
Hearing Requirements
- Constant need to communicate via telephone and in person with property owners, corporate, vendors, residents.

- Constant need to communicate over telephone and in person.
