Job Description
We are looking for a Personal Assistant to support our Executive Director. You will
manage both business- and life-related tasks. To do this role correctly, you should have
a thorough understanding of scheduling/digital tools, be extremely fast at solving
problems, and have experience as a personal, executive, or administration assistant in
the past. The successful candidate will be extremely detail-oriented, highly organized,
self-motivated, able to handle confidential information, as well as have a demonstrated
ability to respond effectively to changing workloads and priorities.
This role is crucial to the smooth operating of the company. The PA will be involved in
the day to day operations of the company. Tasks will vary from week-to-week and
include the following for work and personal with no request too small or unimportant:
Job Description
Manage and update the Executive Director’s schedule: Make days and weeks flow
smoothly by spacing appointments, breaks, prep time, travel time.
Work with clients, candidates, and external individuals (and their executive
assistants) to schedule appointments for the Executive Director.
Keep track of the Executive Director’s external board, travel, and personal
commitments, and get the appointments on the calendar, noting time zone
differences.
Book travel arrangements for the Executive Director, use loyalty programs and credit
card points to save costs.
Change travel arrangements when weather, clients, and schedule necessitate,
working on getting refunds and travel credit when necessary.
Schedule all-staff meetings (virtual and physical, when in-person meetings are
possible again); provide online access.
Organize and coordinate logistics, including meeting rooms and planning team or
client coffees and meals as needed.
Assist with personal tasks at home and in the Executive Director’s at-home office
while remote.
Perform some limited personal errands, support, and after-hours help as required
(e.g. organizing and filing at-home office, coordinating repairs, checking on
supplies).
Qualifications
Bachelor’s degree preferred
Highly detail-oriented
Extremely professional communication skills – writing and grammar in particular – as
you will interface with third-party clients and executives
Bright and quick thinker with the ability to work autonomously in an ambiguous
environment; always looking ahead
Reliable, productive, and hardworking; remain calm under pressure
Sound judgment and flexibility in balancing competing priorities
Able to prioritize projects and handle multiple assignments at any given time while
maintaining a commitment to deadlines.
Proven track record of integrity and discretion in handling confidential information.
Know Zoom, Mac systems, MS Office, presentation skills, general technology
concepts (e.g. printer).
