We are looking for a responsible Personal Assistant to provide personalized secretarial and administrative support in a well-organized and timely manner for our top executives. You will work on a one-to-one basis on a variety of tasks related to executive’s working life, personal life, and communication. You would be required to sign NDA Agreements, and travel with your executive from time to time with at least 2 weeks notice. As the personal assistant, your main goal is to complete your executive every task. You will always be on call around your set schedule.
Duties & Responsibilities:
– Assist in managing the flow of paperwork.
– Assist and facilitate staff as necessary – whenever and however needed.
– Assist with business development matters including marketing material preparation.
– Advising your executive with advice, and winning strategies
Qualifications
· High degree of organizational skill and problem-solving ability; specifically the ability to work as self starter – especially as it relates to calling on resources outside the firm.
·Resourcefulness in finding information and answers from within and outside the company without prompting or micromanagement; a “consummate” self starter.
·Respect for details; ability to execute accurately at a high level without excess supervision.
·Ability to prioritize/execute to achieve desired company and project goals with prudence and sense of urgency.
·Articulate communication skills – verbal, pictorial and numerical.
·Excellent telephone etiquette, communication and organizational skills, as well as excellent written and verbal communication skills.

·General computer skills including Microsoft Word, Excel, PowerPoint and Project.

· Answer phone inquiries, direct calls, and provide basic company information; oversee mail deliveries, packages, and couriers
· Perform clerical duties, take memos, maintain files, and organize documents; photocopy, fax, etc. as needed
· Assist in preparing information and research materials; create and maintain PowerPoint presentations
· Take notes and memos during meetings; type documents, drafts, and reports; sort and manage files
· Run general corporate related errands
· Manage databases and input information, data, and records
· Research and gather documentation on company position in the industry
· Set up, break down, organize, and maintain conference rooms, training rooms, and meeting rooms; update company calendars
· Attend company functions and networking events
· Shadow multiple office positions and train in a variety of tasks
· Update and post supervised social media and website content; respond to web correspondence, social media posts, and emails
– Manage and maintain the employer’s Outlook calendar, scheduling appointments and meetings as needed
– Provide support, including proofreading documents and preparing correspondence
– Utilize DocuSign to assist with electronic document signing and management
– Proficient in using Google Suite for various administrative tasks
– Handle front desk duties, including greeting visitors and answering phone calls
– Provide excellent customer service to clients and guests
– Assist with office organization, including filing and maintaining records
Skills:
– Strong organizational skills with the ability to multitask and prioritize tasks effectively
– Excellent written and verbal communication skills
– Proficient in using Microsoft Office Suite, particularly Outlook for calendar management
– Attention to detail and accuracy in all aspects of work
– Familiarity with DocuSign for electronic document signing
– Knowledge of Google Suite for administrative tasks
– Experience with front desk operations and phone systems
