IMAGELIFT is hiring for an Personal / Executive Assistant position.
This position will directly support the Owner and Executive team at the highest level of the company. Experience serving as a personal assistant is vital; we are a small but busy, profitable company with many on-going ventures and projects which this person will help coordinate and support.
A detail oriented, motivated, experienced, and highly professional candidate is desired.
Our office is primarily located in Tampa FL, with another location in The Villages, FL. This position may require travel occasionally as needed; travel time paid along with mileage reimbursement.
The IMAGELIFT team hosts seminars on a weekly basis around the Tampa and Villages areas, and this position may be expected to occasionally attend and provide support to the Doctor.
Your hours will vary; most days will require 9am-5pm and some may require additional time as the Doctor often needs support outside of regular office hours and schedules meetings between 8a-9a and 5p-6p. Only apply if you are willing to work a schedule that will be somewhat flexible and if you are comfortable traveling as may be required.
Job Duties:
Provides wide range of complex administration, scheduling and support to the owner / managers.
This position works closely with the Operations Manager and will serve as direct support via project management.
Answers and routes phone calls, mail and e-mail messages and may handle wide-range information dissemination.
Serves as principal administrative contact for Doctor and serves as liaison with all employees and external contacts, typically including vendors, clients, and media agencies.
Serves as principal contact and source of information for Doctor’s schedule and agenda.
Coordinates Doctor’s attendance of meetings, teleconferences, and events, including conferences, seminars throughout multiple time zones.
Manages complex calendars, arranges for meetings, appointments and travel arrangements.
Reviews, assesses, routes, answers and monitors follow up action steps on correspondence from email and phone for the Doctor.
Gathers and analyzes information required for administrative reporting.
Develops, implements and administers relevant systems and procedures.
Monitors Doctors budget as required, including tracking expenditures and providing reports.
Develops, implements and administers relevant systems and procedures.
Provides wide ranges of support including: typing, composing and editing emails, memoranda, reports, presentations.
Prepares copy for publication or submission.
Uses multiple technical applications including word processing, database management, spreadsheets, graphics and presentation software, electronic calendar, email, and other technical/scientific applications.
Creates and maintains filing system(s).
Personal tasks such as assisting with getting lunches, assisting with dry cleaning, and other errands will be necessary.
Contributes to company goals by accomplishing related duties as required.
Cross trains to serve as a backup for Front Desk if needed on an emergent and very occasional basis.
