Full Job Description
We are looking to hire a smart, sharp, passionate driven, organized, and growth oriented personal executive assistant to perform administrative, social media, and clerical duties required by our CEO. In short, someone who knows how to problem solve and get things done.
To be successful in this role, you should demonstrate incredible organizational and time-management skills, have a charismatic personality, and be flexible/able to adjust on the go as things often change/come up. Lastly, you must be a problem solver and someone who brings solutions to the CEO as he is extremely open to actionable thoughts, ideas, etc. We want someone who when they encounter an obstacle, they want to find a way around, through, over it, under it, etc. Someone who is detail oriented, has a very high standard of excellence, and wants to make the world a better place through better health.
Personal Executive Assistant Responsibilities:
- Screening telephone calls, taking messages and responding to emails.
- Arranging flights, transportation, and accommodations when needed (typically 2-3 times/month)
- Assisting with making presentations and documents
- Preparing communications on the CEO’s behalf
- Maintain comprehensive and accurate records
- Coordinating meetings, conference calls, and interviews.
- Managing CEO’s calendar
- Preparing for meetings, which includes drafting agendas, gathering and printing all necessary documents, and organizing catering when necessary.
- Compiling and submitting expense reports to the CEO.
- Overseeing staff and reporting back to the CEO
- Performing personal errands for CEO as required.
- Capturing behind the scenes social media clips when needed
- Availability to be on site minimum of 3-4 days/week in Tampa
Personal Executive Assistant Qualities:
- High school diploma or GED.
- Social media savvy – will work with social media coordinator to provide behind the scenes clips, provide ideas for growth, etc.
- Proven experience working as a personal executive assistant.
- Trustworthy
- Ideally passionate about health space
- Proficient in all Microsoft Office applications.
- Good phone etiquette.
- The ability to multitask.
- Strong planning and organizational skills.
- Excellent communication skills.
- Exceptional customer service skills.
- Detail-oriented.
