The Program Coordinator is an integral part of the Savills Studley (the “Company”) Lease Administration Team. This position is responsible for the management and coordination of various real estate special programs and projects as well as day to day lease administration services.
Location: Tampa, FL or Seattle, WA
Job Duties & Responsibilities:
The primary responsibilities are to provide global lease administration support services for the Expedia account, as well as supporting the overall lease administration services business within the Company’s Occupier Services Group as may be directed by the Company.
Specific duties:
- Coordinate cross-functional projects with integrated teams, processes and timelines.
- Create and maintain project charters and action checklists to support assignment of responsibilities to project team members and track deliverables.
- Schedule and facilitate recurring meetings to review active and pending projects.
- Track project progress and completion of individual projects and of the overall program.
- Collaborate with Expedia’s Real Estate Management and other team members (Tax, Legal, HR, IT, Design & Construction Management, etc.) to facilitate project implementation and completion.
- Identify, highlight and escalate issues to Expedia’s Director of Real Estate to assign responsibility for resolution.
- Review and process utility invoices in accordance with Expedia requirements. Ensure back-up documentation is in place and all calculations are correct. Code to appropriate GL codes within Apex and generate routine batch files for submission to Expedia AP.
- Verify documents are properly executed and follow Expedia’s governance policies, procedures and delegation of authority.
- Act as main point of contact for special project matters for the Expedia account.
- Communicate frequently with field personnel. Notify field of critical dates, real estate policies and procedures, and assist with general field inquiries.
- Maintain electronic file retrieval/storage.
- Establish task priorities and create schedules for portfolio objectives.
- Review and interpret leases and other real estate documents.
- Additional responsibilities will be assigned by the Company from time to time,
Key Requirements and Competencies:
- Five (5) years Lease Administration experience
- Excellent oral and written communications skills
- Well organized, extremely accurate and detailed oriented
- Strong leadership, problem-solving and analytical skills
- Good research, multi-tasking and follow-up skills; solution-oriented and results driven
- Self-starter with the ability to work both independently and as part of the team
- Strong verbal and written communication skills; ability to communicate with team and clients
- Client focused, ability to embrace flexibility and agility to deal with change
- Proficient Microsoft Office Suite and Lease Administration tools
