Duties
Summary
This position is located in the Support Services Division at the VA Regional Office (VARO) in St. Petersburg, FL. The incumbent participates actively in the management of the Administrative section of Support Services Division (SSD) by performing administrative and technical support duties, resolves problems associated with the administrative and technical work of the office, and ensure inventory of supplies is disbursed and maintained at adequate levels.
Responsibilities
- Provide reproduction services for Veteran’s records, including those covered by the Privacy Act and Freedom of Information Act, by photocopy machine.
- Reproduce and makes initial distribution to division of regulations, circulars, forms, and other correspondence transmitted to the Publications Control Officer Mailbox.
- Perform minor repair and maintains copiers within capabilities, utilizing knowledge of all printing/reproduction equipment used in the Publications Unit.
- Receive and process all orders for forms and publications, to include maintaining inventory of forms and order forms.
- Operate office automation equipment for the preparation of correspondence and reports, receiving and transmittal of electronic mail, and applications used.
- Execute timely and accurate processing of incoming/outgoing mail, operating a variety of office equipment to assist in the processing of mail and extended security of RO.
- Establish and monitor the operation of single- or multiple function equipment typical of a mail, duplicating and reproduction function.

MINIMUM QUALIFICATION REQUIREMENT
In addition to the Individual Occupational Requirement listed above you may qualify based on your experience and/or education as described below:
To qualify at the GS-05 grade level, applicants must have one year of specialized experience equivalent to at least the next lower grade (GS-04) in the normal line of progression for the occupation in the organization. Specialized experience is defined as work that involves (1) photocopying and/or preparing reproduction orders, (2) maintaining inventory of station bulk supplies and distributing those supplies as needed to other divisions; (3) processing incoming and outgoing mail including the processing of priority and express mail; and (4) compiling and summarizing information and data in order to provide internal control reports, mailroom data, etc.
OR
Applicants may substitute education for the experience required to qualify at the GS-05 level: Completion of a full 4-year course of study leading to an undergraduate degree (equivalent to 18 semester credit hours per year) from an accredited institution.
OR
Applicant may combine education and experience to qualify at the GS-05 grade level. Only education in excess of the first 60 semester hours (i.e., beyond the second year) is creditable toward meeting the specialized experience requirement. One full academic year of study (30 semester hours) beyond the second year is equivalent to 6 months of specialized experience. To calculate, first identify the percentage of required education you have earned. Then identify the percentage of required experience you possess. Add the two percentages. The total percentage must equal at least 100 percent to qualify. For example, an applicant has 9 months of specialized experience and 75 semester hours of college (15 semester hours beyond the second year and the equivalent of 3 months of specialized experience). The applicant meets 75 percent of the required experience and 25 percent of the required education. The applicant meets 100 percent of the requirement for 1 year of specialized experience and is qualified for the position.
To qualify at the GS-06 grade level, applicants must have one year of specialized experience equivalent to at least the next lower grade (GS-05) in the normal line of progression for the occupation in the organization. Specialized experience is defined as work that involves (1) preparing designated reports; (2) overseeing the unit mail management system to include diagnoses of equipment malfunctions, operating problems, and performs corrective adjustments; (3) analyzing supply levels on a recurring basis to determine the rate of utilization, and advising on when supply orders are required; (4) acting as liaison between management and other staff by providing guidance/assistance on procedures, and related matters for compliance.
Note: Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge and skills, and can provide valuable training and experience that translates directly to paid employment. Promotion Potential: The selectee may be promoted to the full performance level without further competition when all regulatory, qualification, and performance requirements are met. Selection at a lower grade level does not guarantee promotion to the full performance level. The full performance level of this position is grade GS-06.
Physical Requirements: The work requires some level of physical exertion such as extended periods of standing, frequent bending, reaching or similar activities necessary to set up, operate, adjust and monitor operation of equipment. The employee lifts a variety of moderately heavy materials and supplies such as mailbags or large paper stock. Receiving Service Credit for Earning Annual (Vacation) Leave: Federal employees earn annual leave at a rate (4, 6 or 8 hours per pay period) which is based on the number of years they have served as a Federal employee.
