The Programs Manager plans, manages, and implements the Greater Tampa REALTORS® programs and events. This individual is responsible for meeting/event planning, on-site and off-site logistics for Association functions, as well as assisting in the development and implementation of marketing and promotional campaigns for these events. This position oversees the Association’s Affiliate program and sponsorships.

Duties and responsibilities include:

  • Acts as the primary contact and lead on meeting/event planning for the organization including but not limited to; room reservations, meal ordering, budget management, setup and cleanup
  • Designs an overall sponsorship framework to achieve budgeted sponsorship revenue goals
  • Institutes and maintains a system that will enhance the overall effectiveness of partnerships, sponsorships, events and affiliate relations
  • Books venues and negotiates fees for meetings/events in accordance with approved budgets
  • Assists Committee Staff Liaison’s to set realistic sponsorships for meetings/events and secures meetings/events sponsorships
  • Works closely with the Communications/PR Manager to ensure proper promotion of all events
  • Oversees assigned committees by working with the Chairs to schedule meetings and prepare agendas, provide meeting notice to members, take minutes, follow up on assignments, etc.
  • Ensures payments received at events on-site or offsite are recorded in appropriate databases and forwarded to the CFO for financial tracking and processing
  • Manages all activities held in conjunction with events including raffles, contest, games, etc.
  • Serves as liaison to the Committees as assigned
  • Overseas the Programs Specialist
  • Travels to industry conferences and seminars as directed
  • Provides timely response to all departmental voice mail and email inquiries
  • Commits to excellence and high standards as outlined in GTR Customer Service manual
  • Works in conjunction with the CFO in the preparation of the annual budget for all Income Statement line items that fall directly under your responsibility and reconcile variances of actual vs budget dollars for these line items throughout the year
  • Delivers to the CFO as per deadline, all monthly credit card receipts for charges you have incurred that month
  • Performs all other duties as assigned by supervisor or Chief Executive Officer

Qualifications include:

  • 4-year BA or commensurate experience
  • 3 years Association experience preferred
  • Completion of Advanced Association Management Course within 90 days
  • High level of customer service
  • Event planning experience is a plus
  • Must be extremely organized with acute attention to details
  • Ability to manage priorities and workflow
  • Extensive experience with Microsoft Word, Excel, Outlook and Eventbrite
  • Versatility, flexibility, and a willingness to work in a constantly changing environment with enthusiasm and positive attitude
  • Professional appearance and demeanor
  • Ability to effectively communicate with people at all levels and from various backgrounds

Working conditions

This is an exempt position which requires flexible hours and frequent evening hours with travel and occasional exposure to outside weather conditions

Physical requirements

  • Frequently required to walk, sit and stand for up to 4 hours
  • Continually required to utilize hand and finger dexterity
  • Occasionally required to climb, balance, bend, stoop, kneel or crawl
  • Continually utilize visual acuity to operate equipment, read technical information, and/or use a keyboard
  • Occasionally required to lift/push/carry items up to 30 pounds
