Project Coordinator
DRI RITE is hiring a Project Coordinator as a full-time position in Tampa, Florida.
Position Summary / Purpose
The Project Coordinator position works with high volume property management clients to ensure job tasks and customer service standards are met. This position requires basic knowledge of Microsoft Office, professional email etiquette, strong communication skills, and general computer knowledge. Daily tasks include but are not specifically limited to; accepting WOs that come through the internet portal, scheduling WOs. Following up on estimates and client requests. Scheduling and coordinating of all approved WOs. Ensuring timely delivery of services. Managing client expectations. Providing a high standard of customer service for tenants. Assist with invoicing and accounts receivable. Quality control for all processes, policies, and procedures.
Principle Duties and Responsibilities
Maintain timely contact with vendors and customers by answering emails and portal messages daily.
- Exceed division targets for quality ratings and customer satisfaction.
- Ensure compliance of the SMS app for all employees
- Follow up with customer concerns. Ensure that all questions and concerns are addressed in a timely manner.
- Perform quality control on projects by reviewing daily photos.
- Maintain sufficient production capacity through staffing, equipping, and supplying the service divisions
- Maintain market leadership through continuous implementation of state-of-the-art technology as it pertains to the delivery of our services.
- Oversee scheduling of technicians, subcontractors. Ensure your projects are getting the attention that they need.
- Schedule jobs and maintain project efficiency.
- Maintain timely and accurate flow of production reporting from field operations to administration.
- Prepare job contracts and write job estimates.
- Follow up on estimates.
- Check monthly lead sheet and follow up on leads/jobs not closed.
- Assist in Collection activities.
- Answer phones during business hours alongside other employees, answer calls and respond to emails if needed after hours.
- Additional responsibilities that will come with time and experience, as well as additional compensation.
- Effectively train production staff to meet division goals for quality, profitability, and customer satisfaction
- Effectively develop production staff to prepare them for higher level positions within the company
Additional Duties and Responsibilities
Attend and assist in conducting company meetings
- Communicate with customers/tenants and conduct in-home inspections with SMS management as needed
- Participate in community organizations
- Attend trade seminars and workshops

Schedule service vehicles and technicians- Provides input to and assists in development of strategic goals
Working Relationships and Scope
Reports to and is supervised by: The Remediation Department Manager
- Works with Estimators to review and oversee job estimates.
- Works with the Account Manager to review app and client compliance.
- Works closely with each dept to ensure jobs are being done in a timely manner

Qualifications-Knowledge, Skills, and Abilities
Education and Experience- High school diploma (or GED) plus four (4) to five (5) years of experience in cleaning / restoration industry or Associate (2-year) degree in business-related field and a minimum of three (3) years of experience in cleaning / restoration industry. Team leader or supervisory responsibility experience preferred.
- Financial Reports and Budgeting- Basic understanding of financial reports: Profit & Loss, Balance Sheet, and budgeting. Ability to review completed job costing, assess performance, and identify areas for improvement.
- Technical Skills- Advanced technical skills, experience, and certification in the areas of service the company provides.
- Mathematical Skills- Adequate math skills. Able to quickly and effectively translate remaining work into manpower planning, project completion times, and review and assess labor time reporting. Effectively project job costs based on work remaining.
- Computer Skills- Demonstrates intermediate to advanced proficiency in the use of computers and computer software, especially with Excel, DASH, and be able to learn and be proficient with our custom reporting software.
- Listening Skills- Effective in receiving feedback and input from employees, probing for additional information or unspoken issues, and providing timely response.

The physical demands described below are representative of those that must be met to successfully perform the essential functions of this job. Working Conditions
The work of this position is predominantly carried out in a shop or job site environment. Daily exposure to the shop where vehicles and equipment are housed and maintained is expected. Employee will encounter facilities where standing water and sewage are present, heat/air conditioning is unavailable due to lack of utilities, fire damage has occurred, and mold or other organic growth exists.- Noise level in the work environment is moderate to high.
- This job will require travel time of roughly 10% (could vary) and distance could extend up to 2 hours away from the office.
This position requires the attention of one client who provides a high volume of work orders. Part of the conditions of hiring will be to interview off site with the client. Final determination of a job offer shall be based upon 3 qualifications; job assessment testing, interviews with the management, and interviews with the client.
