POSITION DESCRIPTION

POSITION TITLE: Project Coordinator

CLASSIFICATION: Non-Exempt

REPORTS TO: Project Accountant

Parasol Properties specializes in new home builds in the Tampa Bay area, as well as renovations and heritage restorations. The Project Coordinator will perform the day-to-day functions associated with project implementation and will work in close coordination with project management, project accounting, vendors and subcontractors as well as clients/homeowners.

This person will perform various coordinating tasks, like schedule and risk management, along with administrative duties, such as maintaining project documentation. This person is very competent and ideally has several years of construction experience and loves what they do. They need to be very organized and able to learn computer programs quickly. The key to success in this role is to be adaptable with a strong attention to detail to manage information accurately in a fast-paced and everchanging environment. Ultimately, the Project Coordinator’s duties are to ensure that all projects are completed on time, within budget and meet high quality standards.

ESSENTIAL FUNCTIONS AND BASIC DUTIES

  • Support Project Management/Project Accounting in the daily tasks required to maintain customer expected timelines and ensuring all departments are aware of promised delivery dates
  • Understand project scope and associated project quotes and change orders
  • Coordinate project management activities, resources, equipment and information to manage and mitigate risks – including but not limited to tracking applicable subcontractor insurance and licensing requirements
  • Assist with project procurement management
  • Assist in maintaining project files (examples include but are not limited to quotes, entering/submitting purchase orders/subcontracts, tracking order acknowledgements and deliveries, scheduling, work orders, bill of materials, etc.)
  • Work with clients and internal teams to support ongoing projects
  • Disseminate project information internally, identify issues that may impact project completion/success and communicate it to additional team members
  • Establish and maintain effective communication with functional groups, management and customers to address problems and their resolution
  • Track and report on change orders and project close outs
  • Assume responsibility for establishing and maintaining effective communication and coordination with Company personnel and with management
  • Create a variety of documents, reports, and records as requested
  • Complete special projects and miscellaneous assignments as required

REQUIRED KNOWLEDGE, EXPERIENCE & SKILLS

  • Ability to work well with others under deadline situations and respond to changes in priorities
  • Ability to handle confidential information in a discreet, professional manner
  • Detail-oriented, honest and accurate while possessing sound judgment
  • Exhibit excellent organizational and time management skills
  • Excellent oral and written communication skills
  • Ability to be an effective team member and display initiative

  • Intermediate to advanced computer literacy, including experience in word processing, spreadsheets and accounting software
  • A thorough knowledge of standard contract terms, including hourly, lumps sum, not-to-exceed and how they are applied in the billing process
  • Knowledge of the project structure in a client/consultant business environment
  • Familiarity with risk management and quality assurance control
  • Ability to read construction blueprints preferrable
  • Knowledge of the construction industry is beneficial for this position but not required
  • Prior project coordinator project manager, bid coordinator, construction coordinator, design assistance experience desired

Job Type: Part-time

Pay: $18.00 – $21.00 per hour
