Position Summary: The role of Project Management Associate is to ensure full implementation, execution and on-going project work completion between clients, strategic partners and advisors. This role will also have responsibility for tracking and holding partners accountable to revenue sharing arrangements, P&L management, and revenue growth of this business unit. Further responsibilities may include business development work, partner acquisition opportunity due diligence work and management of GFG Team Members.
Essential Functions:
Manage Project Management Spreadsheet
- Meet with Advisor(s) weekly to review spreadsheet and determine action items
- Work with EA to coordinate meetings with clients
- Work with EA to update tabs for timely management of projects
- Report on spreadsheet at team meetings
Client On Boarding
- Collect necessary documents from clients
- Act as case manager if multiple departments are involved in on boarding
- Ensure compliance regulations are followed
Attend Client Meetings
- Take Notes
- Dictate case notes
- Understand case design to ensure follow through and project execution
Strategic Partner Management
- Hold partners accountable to completing their work and act as “quarterback” between them and client to prevent heavy lifting by client
- Report to advisor progress of project work at review meetings or as needed
- Hold partners accountable to revenue sharing agreements ensuring timely payment to GFG Solutions
Operations & Management
- Manage Client To Dos
- Oversee Paraplanner
- Attend partner/vendor meetings as necessary
- Engage in business development meetings and opportunities as needs arise – i.e., complete due diligence on acquisition of a new business unit (CPA, Bookkeeper, Payroll, etc.)
- Assist with new agent training on industry specific software systems and assist agents with questions related to Financial Planning Software
- Stay up-to-date on financial regulations and contribution limits
- Stay up-to-date on industry news to include financial and insurance
- Ensure proper compliant file procedures are followed
- Utilize required software to track expectations to performance
- Manage P&L with GFG accounting firm
File Prep – Close Meeting, Implementation, and Review Meetings
Close Meeting
- Ensure all files are appropriately prepped for each advisor’s client meetings
- Work collaboratively with team members in the investment and insurance operations department
- Provides Summary of Assumptions and Sales ideas (where appropriate) with all analysis/plans, including but not limited to:
- Executive Summary
- Financial Planning Engagement Agreements
- Rightbridge reports
- Marketing bundles
- Investment proposals
- Run tax plan analysis with Corvee software
- Run Morningstar reports
- Run Social Security Estimates when necessary
- Manage and forecast multiple calendars
Implementation Meeting
- Ensure all files are appropriately prepped for each advisor’s client meetings
- Work collaboratively with team members in the investment and insurance operations department
- Ensure all appropriate insurance, investment and financial planning delivery requirements are included in the file
- Run Morningstar reports
- Run Social Security Estimates when necessary
- Manage and forecast multiple calendars
Review Meeting
- Ensure all files are appropriately prepped for each advisor’s client meetings
- Work collaboratively with team members in the investment and insurance operations department
- Provides Summary of Assumptions and Sales ideas (where appropriate) with all analysis/plans, including but not limited to:
- One Page Investment summary
- Executive Summary with To Do list updated
- Financial Planning Engagement Agreements
- Rightbridge reports
- Marketing bundles
- Investment proposals
- Insurance illustrations
Other Functions:
- Complete other duties as assigned by Supervisor
Minimum Job Requirements:
- Bachelor’s Degree in a related field (preferred)
- Registered representative/insurance agent experience preferred
- Proficient in English
- Excellent inter-personal skills
- Excellent written and verbal communication skills
- Must be able to pay close attention to detail
- Excellent computer skills; proficient with Microsoft Outlook, Excel, and Word
- Proficient with Financial Calculators, Advisys, Profiles, Personal Financial View (eMoney) and WBC Software or equivalency
- Working knowledge of Life, Disability, and LTC Illustrations
- Must be able to learn company and industry specific sofware programs
- Able to work independently on assigned tasks, and able to accept and follow directions.

- Able to be responsible, dependable, and take initiative
Specialized Knowledge, Licenses, etc.: Preferred that employee holds series 6, 63, & 65 licenses and Life & Health License.
