The Role: 

Works internal and external clients to coordinate event marketing programs that maximize revenue generation. This position is part of our Events and Promotions Team. At the Times, we produce 24 consumer events annually. This position takes a direct lead in overall consumer show event production with strong emphasis in event sales from lead generation to maintaining the contacts/touch points for the various Times Events produced. Ensures that all contracted terms are fulfilled. Externally works with many local businesses on Times’-sponsored events/promotions to achieve departmental goals. The position is located at our office in downtown St. Petersburg, FL.

Duties and Responsibilities:

  • Serves as primary liaison with departments and/or area business on consumer show event coordination, promotion, sponsorship, planning and/or production. Maintains close communications to clarify and meet departmental goals.
  • Conducts negotiations for event sponsorships and event exhibit booth sales. Fills out necessary forms, if applicable, and follows Accounting procedures.
  • Identifies opportunities for Event revenue (exhibit booth sales, programs and sponsorships) and negotiates for sponsorship opportunities available with Times Consumer Events.
  • Sets direction and develops strategies for events, working with team.
  • As needed, coordinates brainstorming meetings to develop ideas for promotional materials.
  • Attends event planning meetings as appropriate.
  • Establishes budget and time line for events/promotions and related projects, coordinating closely with Times’ staff.
  • Obtains approvals for costs and monitors progress of events with regard to estimates, meeting times lines and deadlines, communication, billing, etc.
  • Initiates promotional materials for consumer events.
  • Manages project flow for event production.
  • Sees that accounting procedures are followed and coordinated.
  • Schedules ads, develops promotional materials, orders media, coordinates needed logistics and leads other project elements. Makes sure all deadlines are met.
  • Responsible for on-site set-up for events/promotions. Ensure logistics agreements are carried out.
  • This position requires ability to work event weekends and select nights when events are staged.

Education and/or Experience:

  • Bachelor’s degree in a related field and/or training; or equivalent combination of education and experience.
  • Should have working knowledge of good public relations practices.
  • Must have excellent communications skills (verbal and written). Ability to type is essential. Must be computer literate.
  • Excellent interpersonal communications are needed.
  • Ability to analyze information and communicate salient points is very important.
  • Must be able to delegate and receive instructions.
  • Must be well organized to meet time, priority and workload demands.
  • Ability to handle multiple tasks simultaneously and set priorities is essential. Each event/promotion requires creativity and timely production of materials (e.g., ads, brochures, flyers, programs, T-shirts, etc.) and coordination with external vendors, producers or organizers.
