The Property Administrator provides administrative support for a portfolio of industrial properties in one of our EastGroup markets, working closely with our Property Management team.
Summary of Job Duties
Administrative Duties:
- Office Management to include:
- Opening/closing office daily from 8AM-5PM
- Representing EGP as our on-site office personnel
- Answer and distribute incoming calls for office
- Collect and distribute mail – send mail, fax and courier documents
- Make copies, scans and marketing flyers
- Office organization and order supplies, as needed
- Address general email and voicemail correspondence from EastGroup corporate/accounting, leasing brokers, tenants, vendors, etc.
- Create/maintain/update electronic and hard files as an ongoing task
- Create/maintain/update tenant, vendor, etc. contact information lists
- Assist with event planning, broker/tenant events, tenant relations (newsletters, anniversary cards, etc.)
- All other tasks/projects as assigned
Property Management Support Duties:
- Assist with tenant work orders and typical daily requests for information and assistance
- Vendor contract administration, including insurance compliance verification, new vendor setups, etc.
- Tenant lease administration, including insurance compliance verification, HVAC service tracking, tenant portal and MyCOI registrations/updates, filing
- Create/maintain/update property information/data sheets
- Repair, Maintenance and Inspections coordination and tracking for services to be provided at the properties (landscaping, fire/life-safety work, alarm monitoring, etc.)
- Send tenant and vendor correspondences as needed
- Coordinate utility transfers and track meters/account numbers
- Assist Property Management with Tenant Move-in/Move-out procedures, including coordinating welcome packages, property manuals/handbooks
- Assist Property Management with Accounts Receivable, including rent collection review and creating EGP invoices for billing
- Assist Property Management with Accounts Payable, including distributing invoices internally, invoice coding, and maintaining property expense allocations
- Assist Property Management with Rent Roll Review, CAM reconciliations, lease administration, tenant notices, default letters, various property inspections reports
- Assist Asset Manager as needed with leasing and marketing flyers/boards, tracking acquisition/development meeting notes, etc.
- All other tasks/projects as assigned
Education & Experience
- HS diploma required – BS/BA preferred
- 0-2 years experience/entry level
- Real estate experience is preferred but not required
Knowledge, Skills & Abilities
- Basic understanding of lease terms and financial analysis preferred but not required
- Experience with Yardi accounting/property software preferred but not required
- Proficiency with Microsoft Office required
- Excellent communication (both written and verbal) skills are required.
- Strong organizational skills with attention to detail.
- Structured work ethic and strong focus on meeting deadlines.
- Demonstrates initiative and reflects a sense of urgency in daily duties by meeting or improving upon deadlines
- Ability to work effectively both individually or as part of a team
