PROPERTY ADMINISTRATOR
JOB DESCRIPTION SUMMARY
Performs the administrative functions of the Property Management Team to ensure a high level of professionalism with property issues, including timely response to and resolution of any tenant requests or concerns.
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES
- Provide full administrative support, including phone support, typing correspondence (rent and CAM increase letters) and reports, filing and distribution of correspondence
- Maintain lease and contract files, as well as other files located within the property management office
- Monitor and maintain the property maintenance work order system; foster positive relationships with tenants and track service calls as required; prepare monthly reports for Property Manager
- Assist in lease administration activities, including tenant contacts and insurance information; generate reports
- Track and file vendor contracts and insurance certificates; maintain follow-up system for expirations
- Prepare and coordinate bid proposals and service contracts; prepare and code invoices for Property Manager’s approval; generate all special billings for tenants as required
- Ensure office is stocked with office supplies and other items required to maintain the office
- Assist with monthly and quarterly management reports as well as annual budget preparation
- Schedule and coordinate meetings/special events, as requested
- Perform any additional duties that might be assigned by the Property Manager or any officer of the company

IMPORTANT EDUCATION
- High school diploma/GED equivalent; Bachelor’s Degree preferred
ADDITIONAL ELIGIBILITY QUALIFICATIONS
- Proficiency in Microsoft Office Suite
- Ability to give and take direction and to interface with decision makers in a professional manner and maintain confidential information
- Must be organized, self-motivated and focused on results.
WORK ENVIRONMENT
This job operates in a professional office environment. Some travel required to properties in the Tampa Bay area.
