ROLE AND RESPONSIBILITIES
Under the supervision of the Junior Property Manager, the Property Administrator is responsible for general operational and administrative support that include accounting functions and providing direct support services for property management.
- Maintain the Yardi Insurance/Tax Database; enter data, track due dates, and run reports.
- Maintain vendor certificates, email responding to vendors and producers on any questions or edits to be made pertaining to certificates of insurance.
- Maintain the Sila property assignment worksheet.
- Maintain check log, scan in bank deposits and Fedex rent payments to Lenders as required. This will require being in the office at a minimum of three days a week
- Process property invoices through Payscan
- Prepare and send monthly tenant rental statements
- File hard copy of invoicing and other documents to the physical property folders as well as the appropriate folder on the main drive
- Assist the APM with new vendor packages including filling out the new vendor authorization forms, requesting a copy of the vendors W-9, and attaching an invoices.
- Follow up on service contracts/short-form agreements with new vendors to be sure all certificates of insurance are obtained and meet the agreements requirements.
- Assist the APM in filling out the New Property Checklist at acquisition to include property data sheet, creating the digital file folders, looking up and organize tax information and records, roof condition and warranty, preventative maintenance, vendor list, tenant contact list, and financial reporting requirements.
- Assist APM with any utility transfers at acquisition.
- Coordinate with cities and counties to transfer ownership information into new entity name for tax records.
- Log and file Property Managers Annual Property Inspection Reports to the main drive.
- Maintain Preventative Maintenance Tracker and save all incoming maintenance reports.
- Additional duties as assigned
QUALIFICATIONS AND EDUCATION REQUIREMENTS
- 2 – 5 years previous administrative experience, preferably in commercial real estate
- Ability to perform basic lease abstracts
- High school diploma or equivalent (minimum)
PREFERRED SKILLS
- Ability to multi-task while remaining highly organized to complete assignments in a timely manner.
- Flexible and proven ability to prioritize projects with a sense of urgency.
- Strong knowledge of Microsoft Office: Word, Excel, Outlook, PowerPoint and SharePoint.
- Ability to comprehend and interpret instructions/short correspondence/memos and to ask clarifying questions to ensure understanding.
- Ability to respond to common inquiries or complaints from clients, co-workers, and/or supervisor and to write routine reports and correspondence.
- Self-starter who has the ability to learn quickly and work as an integral part of a team, as well as independently with minimal supervision.
- Knowledge of Yardi Voyager.
