The Community Association Coordinator’s primary function is to assist the Licensed Community Association Managers (LCAM) by inspecting their communities, recording violations and assisting with the final stage of the violation process. The Community Association Coordinator is to assist in gathering all pertinent information needed to refer violation matters to the Board of Directors, Violations Enforcement Committee or the HOA attorney. Additionally, the Community Association Coordinator will, at times, assist the administrative assistant, communicate with homeowners over the phone and via email, create comprehensive community binders and request proposals, business licenses and insurance information from new vendors.

EXPERIENCE & EDUCATIONAL QUALIFICATIONS:

1. Minimum of a High School diploma or GED and at least five (5) years of office work experience.

2. Previous property management experience preferred.

3. Successfully pass pre-employment screenings and background/referencechecks.

4. Ability to work independently in a fast-paced environment.

5. Ability to coordinate/manage multiple projects at the same time.

6. Ability to interact and communicate effectively with colleagues, vendors and customers/clients of all professional levels.

7. Demonstrate leadership in maintaining high standards of professional behavior for self and staff.

8. Demonstrate organization, attention to detail, problem solving, creative, and independent thinking.

9. Demonstrate a commitment to the organizations philosophy of high quality, professionalism and organizational culture.

KNOWLEDGE & CRITICAL SKILLS:

Must have a working knowledge of applicable company policies, procedures, state licensing standards, and must be familiar with accreditation expectations, including, but not limited to:

1. Knowledge and application of Microsoft Word and Excel is required.

2. Knowledge of Homeowner Associations desired.

3. Knowledge and application of TOPs software highly desired, but we are willing to train the right candidate.

ESSENTIAL DUTIES & RESPONSIBILITIES:

1. Generate and print various reports, including violations reports, utilizing the TOPS database.

2. Have reliable transportation (with A/C).

3. Be prepared for inspections with smart phone, GPS, gate codes or remote, reports, clip board, ruler and writing instruments.

4. Inspect HOA communities to ensure compliance by homeowners, residents, landscape vendors and to monitor special projects being performed on site.

5. Take photos of violations with smart phone or camera, upload and save them to the computer (on X: drive).

6. Perform research on the internet e.g. County, State and HOA websites, etc.

7. Create an inspection calendar and set all inspection dates in accordance with number of visits stipulated in HOA community contract.

8. Create a portfolio binder containing community facts such as maps, gate codes, contacts, special instructions, streets names, trash days, etc.

9. Consistently check emails for LCAM requests, homeowner compliance, vendor proposals, etc.

10. Prioritize tasks based on urgency.

11. Keep a clear and open communication with LCAM(s) at all times.

12. Meet vendors at office or on site to discuss scope of work, proposal or bid.

13. Request proposals or bids, business licenses and insurance policies from new vendors.

14. Update Microsoft Outlook Group Contacts by adding new vendor contacts.

15. Keep abreast of company and HOA community policies.

16. Assist with creating or revising turnover documents.

17. Attend Lunch & Learn meetings, periodically.

18. Process expense reports in a timely manner.

19. Ad-hoc duties include, but are not limited to, scanning, copying, mailing, filing, storing, assisting administrative assistant when needed, etc.

20. Non-essential duties include other job related duties as assigned.
